Job summary

We are a large specialist GP practice (23k patients registered) who provide NHS primary care services to students and staff of King's College London University.

Based in Bush House, Central London (The Strand).

We are looking for a Front of House Receptionist with excellent customer service skills to be the warm and welcoming face of our GP practice. The role will be supported by a team of administrative assistants who operate in a back office within close proximity.

The role is for four days a week 09:00-18:30 (Monday, Wednesday, Thursday and Friday)

Main duties of the job

The role will include but not be limited to greeting patients who are attending their appointments, helping patients to book follow on services, dealing with waiting room enquiries, processing incoming letters and documents on to the clinical system, taking incoming requests from patients whether online or in person. Supporting the wider administration team when required.

We have a team of 25-30 people made up of GPs, Nurses, HCA's, admin and management.The practice is a forward thinking, dynamic GP surgery looking at ways to improve care and efficiency for our patients and our staff. We are looking for a hard working, caring and supportive person to join our team.You will gain experience working within the NHS primary care whilst being based within the institute of King's College London.

Having an ability to input data accurately and quickly

Collaborating with other administrative staff to establish and maintain a filing system for word processed documents

Being literate and numerate in all communications including taking and passing on messages, including message books and e-mail

Ensuring confidentiality of patient records as per the agreed local protocol

Implementing appropriate filing systems agreed with the team

Using photocopier and scanning facilities effectively

Reporting any IT concerns to your manager

To work with other staff to develop and implement an appropriate and efficient administration system by:

Learning and maintaining a working knowledge of the clinical system (SystmOne)

Scanning patient letters in to patients medical records via the workflow system

Ability to take messages accurately and able to prioritise these to support patient needs

Reporting to your manager any operational problems with the appointments system

Maintaining patient records by creating, maintaining and filing when necessary, locating missing notes and returning notes to the Health Authority when requested

Following the protocol which concerns the opening, processing and dispatching of mail

Calling for ambulances as requested by the nursing and medical staff.

Assisting with some secretarial tasks as needed.
