Job summary

Due to retirement, we are looking to recruit a dynamic and enthusiastic Practice Manager to provide leadership to our team, manage the operational and financial aspects and work with the partners on strategy and business development.

We are a friendly team, with 6 GP Partners and a list size of over 12,500 patients, operating from modern purpose-built premises. There are excellent transport links, and we are close to the town centre of Welwyn Garden City.

The role is responsible for ensuring the practice operates effectively, HR, finance, compliance and developing and implementing new systems, policies and processes to improve efficiency, support patient care and meet contractual, legal and CQC compliance.

A Deputy Practice Manager and Reception Manager support this role.

The postholder will support, guide and develop staff and provide advice and guidance to the partners. They will also work collaboratively with practices as part of WGC PCN, the local GP Federation, Ephedra and the ICB.

The successful candidate will have a positive outlook, excellent interpersonal skills and a friendly, approachable manner. Strong understanding of HR, finance, and NHS regulatory requirements. This is a busy role and excellent time management, and organisational skills are a must have.

Main duties of the job

Key Responsibilities:

  • Oversee the day-to-day management of the practice, ensuring compliance with NHS standards and regulations, including CQC readiness
  • Provide strategic and operational leadership, working closely with the partners
  • Provide leadership and support to our clinical and administrative teams
  • Ensure financial sustainability, workforce development and operational efficiency.
  • Implement systems and processes to improve patient experience
  • Lead on quality improvement initiatives and support the delivery of practice objectives

Core Responsibilities:

The following are the core responsibilities of the practice manager. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

Co-ordinate Partners meetings, prepare agenda, produce and circulate minutes, implement and review actions.

Be familiar with the Partnership Agreement, monitor compliance and recommend remedial action if required.

Management of Practice finances. Establish and maintain accurate records and accounting systems for practice finance and to maximise practice income.

Prepare and submit claims for Enhanced Services; CQRS, HCC, LES etc

Preparation of year end figures and prompt submission to practice accountants and liaise re queries.

Co-ordinate monthly payroll and submit to practice payroll company. Ensure PAYE and Pension payments made on time

Overseeing the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities

Direct line management of the following staff: Deputy Practice Manager, Secretaries and Nurses

Support and mentor staff

Develop and implement effective staff appraisal and monitoring systems in conjunction with DPM and Reception Manager

Managing the recruitment process for the practice and provide general human resources management, ensuring compliance with current employment legislation

Arrange and oversee staff induction and training, ensure staff are adequately trained to fulfil their role

Maintain up-to-date HR documentation including employment contracts, employee handbook, and employment policies including grievance and disciplinary procedure

Keep up to date with employment legislations and ensure Practice polies comply with statutory requirements; promote best practice

Actively engage with the PCN, attending meetings and other duties as required

Managing contracts for services

Develop practice protocols and procedures, review and update as required

Work with CQC Registered Manager to ensure practice compliance with CQC regulations and inspection processes

Leading change and continuous improvement initiatives

Coordinating the reviewing and updating of all practice policies and procedures

Developing, implementing and embedding an efficient business resilience plan

Managing the Patient Participation Group in conjunction with the Lead Partner and DPM

Managing all complaints effectively through the Practice Complaints Procedure, complete annual complaints return to NHSE

Ensuring compliance with legislation and deal with disciplinary issues accordingly

The management of the premises, including health and safety aspects such as risk assessments and mandatory training

Ensuring compliance with IT security and IG, completion of the IG toolkit annually and disaster recovery plans

Coordinating of all projects within the practice as required

Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively

Maintaining the practice and NHS choices websites

Management of holiday systems for staff and partners; overseeing locum cover to ensure practice adequately staffed.

Monitoring and implementation of practice sick pay policy

Completion of monthly workforce reporting, NWRS

Completion of annual eDeclaration, to ensure practice complies with NHS contractual requirements

Implement and lead on full range of health & safety measures to ensure compliance with current legislation, including fire safety, gas safety, electrical safety, security, legionella, infection & prevention, risks assessments etc.
