Job Summary:
We are seeking ahighly organized and proactive Deputy Practice Managerwith aminimum of two years experience in practice managementto support the day-to-day operations of our busy practice. This role involves managing reception and administrative staff, supporting the clinical team, overseeing staff rotas, and ensuring the smooth running of practice processes. The successful candidate will play a key role in staff management, patient relations, IT projects, and practice administration, working closely with the Practice Manager and SPMC Partner.

Main duties of the job
Key Responsibilities:
Staff & Operations Management
- Oversee the daily management of reception and administrative staff, ensuring efficient workflow.
- Manage staff rotas, including annual leave requests, and coordinate extended access Saturday rotas.
- Lead the induction process for new staff, including medical students and GP registrars.
- Support the Practice Manager with appraisals, probation reviews, and staff training.
- Organize and lead regular staff meetings to ensure effective communication.
- Manage staff birthday cards and foster a positive workplace culture.
Clinical & Patient Support
- Handle complex patient queries and support the Practice Manager in managing complaints.
- Assist with clinical diary management, ensuring smooth scheduling for the team.
IT & Administrative Oversight
- Oversee IT projects, including managing the Data Security & Protection Toolkit across both practices.
- Ensure the practice website is regularly updated with relevant information.
- Minute meetings as required and provide administrative support to leadership.
General Support & Practice Development
- Support the Practice Manager and SPMC Partner in operational and strategic initiatives.
- Assist in maintaining compliance with NHS regulations and practice policies.
- Contribute to the overall efficiency and effectiveness of the practice.
