Job summary

Long Melford Practice has a fantastic opportunity for a Recall Administrator to join our friendly team between 20 -25 hours a week.

Main duties of the job

As the Recall Administrator the responsibility is to ensure patients are recalled for their long term condition/monitoring in a timely manner and reviewed in practice by one of our Practice Nurses or Healthcare Assistants.

About us

The Long Melford Practice has two sites, one based at Long Melford the other in Lavenham.

We have approximately 9000 patients.

Our practice is made up of multiple staff consisting of GPs, nurses, reception/care navigators, clinical administrators and dispensary staff who provide services to our patients.

Job description

Job responsibilities

Audit To assist in providing support to the practice manager, operations director and clinical staff to undertake audit projects aimed at ensuring that optimum care is delivered to our patient population. To assist the practice manager review and validate activity data as required in support of the work required by the WS SNEE ICB.

Undertake data collection

Design data collection tools/ clinical templates in Practice Clinical System currently System One with appropriate coding for ease of input

Set up spread sheets and input data for each audit project as required

Assist the practice manager and operations director in the planning of data collection to ensure that deadlines are met.

Assist in raising the awareness of clinical audit and its purpose amongst all staff. Providing relevant education and training for staff as required.

To assist in the audit of appointments e.g. DNAs on a monthly basis

To assist in running audits and providing information as necessary for health promotion purposes.

To assist the Practice Manager in the maintenance of reports required for Enhanced service returns.

Assist the Practice Manager in developing audits/reports required to review and validate activity data

Recall systems administration To assist in the development and maintenance of effective and efficient recall systems.

Utilise the Quality and Outcomes Framework (QOF) Registers and the Open Exeter system to maintain cervical cytology targets and cervical cytology recall system in conjunction with the practice nurse and ensure that invitation letters are forwarded to patients as necessary.

Utilise the QOF Registers and Open Exeter system to maintain childhood immunisation targets and quarterly target sheets. Work in liaison with the practice nurse to complete and return the immunisation and Booster Target reports to the Health Authority.

Utilise the Open Exeter system to maintain Mammography screening recall system in conjunction with the local NHS England Screening Service and ensure that the outcome of the mammogram is correctly entered into the Electronic Medical Record.

To assist in maintaining an accurate data base to meet the requirements of the recall processes for the National Diabetic Eye Screening Programme.

To utilise the QOF Registers and Capitation reports to maintain the Flu vaccination recall and targets.

To utilise the Practice Patient Registers and Capitation reports to maintain the COVID vaccination recall and targets.

Assist with QOF undertaking recall required to optimise QOF achievement.

Building and Contents - general awareness

To maintain good general awareness of the condition of the working environment with responsibility to alert Practice Manager and Assistant Practice Manager of any hazardous conditions seen. In the case of any situation presenting immediate hazard to occupants take measures to safeguard situation until appropriate remedial action can be taken and situation resolved

Meeting Attendance

Attend meetings and present information if requested. As required take meeting notes in the absence of any secretarial support

Communication

To assist in the provision and maintenance of good information flow to all members of the Practice Team on changes to systems and procedures via written and verbal means
