Job summary

We are looking for a Patient Service Co-ordinator to join our friendly, busy team.

We are looking for compassionate, caring and professional people with excellent communication and general administrative skills, to join our practice team as a Patient Services Coordinator. Youll be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary clinical and non-clinical team.

The ideal applicant will have good spoken and written English, and an aptitude for working with computers. Flexibility to offer cover for absent colleagues is essential.

25 hours per week:

  • Mon - 8am to 1pm
  • Tues - 8am to 1pm
  • Thurs - 8am to 6.30pm (with 1 hour for lunch)
  • Fri - 1pm to 6.30pm

The rate of pay will be reviewed on an annual basis. Please note you will also need to provide acceptable evidence of your vaccination status or exemption.

Main duties of the job

1. To administer the Clinical Appointments system on behalf of the Doctors and Nurses

2. To act as the first point of contact for patients and other visitors.

3. To maintain patient records as directed by the Patient Services Supervisor and defined by standard protocols.

4. To deal with telephone enquiries and direct callers appropriately.

5. To liaise with the Patient Services Supervisor and Patient Services colleagues on matters of administration to ensure the efficient and timely operation of the surgery.

About us

Cornerways Medical Centre comprises of two surgeries, the main surgery being situated at Gorley Road, Ringwood, and the Branch Surgery being situated at 1 Pine Drive, St. Leonards (approximately three miles away). The post holder may be based at either surgery.

The practice has between ten and eleven thousand registered patients and with any practice of this size we expect a number of those patients to have some form of disability. Receptionists will need to take these factors into account when dealing with our patients.

Our Patient Services Co-ordinators operate a morning/afternoon/early evening shift pattern and it is a requirement of every Co-ordinator to ensure that an effective hand-over of responsibility is achieved between each shift.

1. To work closely with the Patient Services Supervisor to ensure the efficient operation of the Patient Services Office in the handling of all matters concerning patient appointments and records administration.

2. To accurately record and confirm patient appointments within the electronic appointment system.

3. To ensure that appropriate information is prepared for Doctors who undertake home visits.

4. To prepare surgery lists for Doctors and Nurses.

5. To liaise with other agencies on behalf of the Doctors as and when directed, for example, arranging patient transport.

6. To record and relay messages to other members of the Health Care Team ensuring that urgent priorities are recognised.

7. To undertake filing of confidential medical correspondence as and when necessary, at all times maintaining the strictest confidentiality.

8. To undertake the duties of Front Desk Co-ordinator as and when directed and to ensure that patient enquiries are dealt with efficiently and handled in an appropriate and friendly manner.

9. To undertake such additional duties as may be necessary to ensure the efficient operation of the Patient Services Office and as directed by the Patient Services Supervisor.
