Job summary

Manor View Practice is a leading healthcare provider dedicated to delivering comprehensive and compassionate care to individuals with diverse needs. We are seeking an organised and proactive Secretary to join our team. The role takes primary responsibility for receiving, organising and managing all aspects of MVPs non-NHS (private) work within the practice, alongside an existing teammate.

Main duties of the job

This role includes a range of tasks that include coordinating and processing requests for services that incur a fee. These tasks are essential to ensure MVPs non-NHS work is managed efficiently, transparently, and in accordance with both practice policy and professional obligations.

Hours of Employment: 25 to 30 hours per week

Job responsibilities

Key Responsibilities:

Manage the flow of all non-NHS requests from patients, solicitors, insurers, employers, and other third parties, including but not limited to:

  • Private medical reports and forms
  • Medicals for employment, insurance, or legal purposes
  • Travel vaccinations and private prescriptions
  • Subject Access Requests (SARs) and other non-NHS documentation
  • Actively contribute to identifying and implementing improvements in administrative processes, particularly those relating to non-NHS work.

Liaise with patients, external organisations, and clinicians to clarify requirements, provide quotes, arrange payment, and ensure timely completion and delivery of documents.

Oversee the processing of medical records requests and iGPR requests; ensuring that all legal, regulatory, and confidentiality requirements are met.

Maintain accurate records of all non-NHS work, monitor outstanding requests, and support Manor View Practice in meeting its obligations and maximising income from private services.

Manage and respond to EMIS and Accurx tasks, emails and direct queries

Respond to patient queries in a professional and timely manner

Take payments for all activity, in line with our policy and protocols, and ensure that a robust and accurate financial record keeping of all payments is maintained.

Allocate work to Partners and Salaried GPs appropriately; consistently ensuring that the allocation is based on availability and relevance, ensuring an efficient workflow.

Working as part of the Secretaries Team

  • Work collaboratively as a member of the secretary's team, contributing to a supportive and flexible working environment.
  • Responsible for managing and monitoring MVPs 2 week-wait spreadsheet. Continually update the spreadsheet, and identify and escalate any issues that arise and ensure the tracker
  • Support the secretary's team in achieving collective targets and maintaining high standards of patient care and confidentiality.

  • A quick learner.
  • You must be a team player who enjoys working with colleagues to problem solve.
  • Willing and able to travel across our four sites, as required.

  • Has a good understanding of the Office 365 suite especially Excel and Teams
