Job summary

We are looking for a dedicated and experienced Reception Supervisor to lead our administration team, overseeing all reception duties run smoothly and efficiently in our busy healthcare practice.

You will be responsible for ensuring a welcoming and professional environment for both patients and staff. Your tasks will include managing the reception team, coordinating daily operational activities, and making certain all reception duties are performed according to established procedures and within required timeframes.We welcome applications from candidates with proven experience in team management and a passion for delivering exceptional service.

Required Skills & Experience:

Proven experience in managing and leading teams effectively.

Excellent leadership abilities, with a flexible and proactive approach to resolving challenges effectively.

Strong verbal and written communication skills.

Experienced in performance management, including conducting appraisals and handling employee relations effectively.

Ability to multitask and maintaining high standards of service under pressure.

Committed to maintaining confidentiality and adhering to data protection standards.

Main duties of the job

Team Leadership: Plan the reception teams rota, manage annual leave and sickness cover, and make sure reception is always properly staffed.

Staff Development: Support and guide your team by setting clear goals, carrying out performance reviews, and helping everyone complete required training.

Operational Efficiency: Keep reception running smoothly by managing daily tasks, tracking performance, and ensuring patient registration and record transfers are completed accurately and on time.

Complaint Handling: Work alongside the Management Team to handle and resolve any patient concerns about reception services.

Training & Induction: Coordinate the introduction and training of new reception staff to equip them with the skills and knowledge needed to perform their roles effectively.

Administration Support: Responsible for ensuring accurate documentation, managing confidential information, and assisting with other administrative duties as and when required.
