Job summary

We are looking for an Operations Manager, who is team focussed, with excellent communication and organisation skills, to manage the day to day operational aspects of the practice.

The postholder will support the partners in providing high quality patient care to our 8,000 patients and promote staff wellbeing.

Experience of working in general practice is preferred but we welcome applications from managers with transferable skills, particularly IT, HR and compliance.

Main duties of the job

The Operations Manager manages the admin team and the day to day operational aspects of the practice, assisting with HR, CQC compliance and premises management.

We are a friendly, supportive team with 3 GP Partners, and an experienced administrative team.

Job description

Job responsibilities

a) Manage the admin team and the day-to-day operations of the practice, ensuring that staff achieve their primary responsibilities.

b) Deal with practice IT system issues, including compliance with the Data Security Protection Toolkit (DSPT).

c) Work with the partners to ensure Quality and Outcomes Framework (QOF) and commissioned service targets are met.

d) Assist with HR processes, including recruitment, relevant checks, contractual issues, appraisals and staff performance.

e) Manage the significant event and complaints processes, in line with current legislation and guidance.

f) Liaise with the outsourced finance company on supplier invoice and payroll queries.

g) Keep up to date with developments and changes within primary care.

h) Ensure the practice explores all opportunities to maximise income and reduce expenditure in collaboration with the partners.

i) Manage contracts and maintenance for services and equipment.

j) Ensure practice policies and procedures and maintained and updated as necessary.

k) Ensure on-going CQC compliance.

l) Manage effective communication, both internal and external and ensure the website and other communication platforms are accurate and up to date.

m) Facilitate relevant meetings and maintain an up-to-date action plan.

n) Support the management of the Patient Participation Group.

o) Manage estates and facilities, including health and safety aspects and risk assessments.
