Regent House Surgery are looking to recruit a highly motivated
experienced receptionist to join our team.
The successful candidate will work 21 hours in a part time position as follows;
Monday 11.00-18.30 (30 minute unpaid break)
Thursday 11.00-18.30 (30 minute unpaid break)
Friday 11.00-18.30 (30 minute unpaid break)
Main duties of the job
The following are the core responsibilities of the receptionist:
Answering incoming calls, transferring calls or dealing with the callers request appropriately
Arranging appointments in line with practice procedures
Signposting patients to the correct services
Input data to patient healthcare records as necessary
Processing prescriptions
Managing e-mail queries effectively
Maintain a clean, tidy , effective working area at all times

Job description
Job responsibilities
- To have a thorough knowledge of all practice procedures
- Pulling, printing blood forms for phlebotomy surgeries
- Processing emails received on the practice generic account.
- Computer data entry, processing and recording information in accordance with practice procedures.
- Providing clerical assistance to practice staff and patients photocopying, and scanning if requested
- Cover sickness, annual leave and work reasonable overtime, change shift when required.
- Process tasks in a timely manner, ensure a failed encounter is added to the EMIS record showing the number of attempts, ensure a sticky note is added to workflow on the clinical system stating the date of attempt, your initials and the mode of contact attempted
- Ensure Accu-rx is monitored for any incoming triage contacts, contacts must be dealt with and checked throughout the day.
- Maintaining clear entry of blood pressure monitors that are loaned to the patient, keeping accurate entry in the logbook.
- Arranging sick note requests in line with practice procedures.
Reception
- Receiving patients; checking in on the appointment system
- Answering the telephone in a professional manner, carrying out three data checks
- Handing completed repeat prescriptions to patient and checking names and address.
- Be able to cover all reception position as necessary.
- Taking messages and passing on information
- Dealing with telephone requests for appointments, telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
- Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
- Ensure that system is operational at the beginning of each day, and you are ready to work at your contract start time, ensuring phones are logged out at the end of shift.
- Opening up on the morning shift/locking up and shutting down on the afternoon shift, checking rooms and filling/switching on the dishwasher
Appointment System Management
- Book, edit, cancel appointments and recalls ensuring sufficient information is recorded to retrieve medical record.
- If appointments are cancelled, ensure patient services are deselected if changing to a default slot type.
- If appointments times are being changed for example a 30-minute slot is being used for a 20-minute procedure, ensure slot times are updated and changed accordingly.
- Report any problems or shortage of specific appointment types.
Deal with home visit requests, carefully noting all details in line with practice policy.
Medical Records Management
Processing of prescriptions in accordance with practice guidelines
Handing completed repeat prescriptions to patient and checking names and address.
Ensure audit trail is available for task involvement.
