Job summary

Beeston Village Surgery is a GP practice in South Leeds. We are committed to achieving high standards of general practice and the safe delivery of patient care.

Our Receptionists/Administrators are known as Patient Care Advisers as their role is so much more than answering the phone and booking appointments.

Our Patient Care Advisers provide support to the whole practice team and are the first point of contact for patients, other healthcare professionals and visitors contacting the practice either on the phone or face to face.

They receive, support and signpost patients to the most appropriate service or healthcare professional in a calm, efficient and effective manner.

Main duties of the job

Providing a full reception/administrative service to the practice team and patients.

Patents are offered telephone, face to face or video consultations by our Patient Care Adviser team or signposting to another appropriate service.

Daily administrative duties include scanning and matching, preparation of repeat prescriptions and processing electronic correspondence.

Job responsibilities

Main PurposeWork to the direction of the Practice Manager in supporting the medical, nursing and administrative teams in administrative activities to provide high quality and patient care services to meet the needs of the practice population.

Principal Duties and Responsibilities

1. General

The person carrying out this role should:-

1.1 Establish and maintain timely, appropriate and organised ways of working during the working day

1.2 Establish and maintain productive working relationships with the Practice Team.

1.3 Carry out duties in a quiet, timely, efficient, professional and respectful way.

1.4 Work closely with duty clinician to support and maintain first contact assessment way of working

1.5 Achieve and maintain core competencies

1.6 Obtain daily brief from Team Leader, Patient Care Adviser Team or Practice Manager at start of shift

1.7 Establish and maintain daily operational links with the all clinical staff

1.8 Carry out appropriate duties to maintain adequate patient services during surgery hours (Monday, Wednesday 7am 6pm, Tuesday, Thursday and Friday 8am 6pm)

1.9 Maintain code of confidentiality at all times

1.10 Establish and maintain good working links with the Practice Manager.

1.11 Carry out general Patient Care Adviser duties which form the basis of the core competencies essential for this role;-

2. Patient Contact

The person carrying out this role should:-

2.1 Meet and receive patients and help deal with their needs

2.2 Have a good working knowledge and understanding of the following:-

      • New patient registration process
      • Appointment booking for all Primary Care Health Professionals and knowledge of accessing appointments in Secondary Care
      • Note preparation, sorting and coupling and thinning of Lloyd George files
      • Be aware of and adhere to the weekly task rota
      • All aspects of incoming/outgoing mail and shuttle
      • Receipt and despatch of PCSE packet
      • Daily, weekly, monthly, quarterly administration tasks
      • Appropriate administration tasks
      • Electronic pathology system
      • Sick note, appliance and equipment requests
      • Repeat prescription service
      • Electronic prescribing
      • Hospital transport and 999 ambulances
      • Preparation of stationary
      • Preparation of repeat prescriptions
      • Electronic mail
      • Long term condition recall
      • Signposting/Care navigation

2.3 Have knowledge of and act at all times within the boundaries of Health and Safety legislation

2.4 Have knowledge of and act at all times within the boundaries of the Data Protection Act.

3. Training and Personal Development

The person carrying out this role should:-

3.1 Participate in the Practice and Personal Development Plan including annual appraisal

3.2 Undertake Beeston Village Surgery or NHS IT training as and when required.

4. Meetings

4.1 Attend Practice meetings as and when required

5. Confidentiality and Record Keeping

The person carrying out this role should:-

5.1 Act at all times with regard to the confidentiality and sensitivity of issues to do with patients, their care and treatment. Confidentiality of both patient and practice information must be protected and maintained in accordance with Practice Policy.

5.2 All contacts that you have with patients must be recorded

6. Additional Responsibilities

6.1 The Lead Clinician can determine any additional duties that may be required so long as they do not exceed the level of responsibility expected for the grade of post.
