Job summary

We are seeking a Patient Services Administrator to join our team in Derby either on a full time or part time basis. The practices are part of a newly merged regional organisation and this role may be based over Hollybrook Medical Centre or Haven Medical Centre and Parkfields Surgery in Derby serving a combined population of approx. 40,000 patients.

We are a friendly, dynamic and forward thinking organisation and this is a very busy and challenging environment, however NHS experience is not essential. Our ideal candidate will be highly motivated, patient-focused and have excellent communication skills.

The role requires flexibility due to variable shift patterns, Monday to Friday between 8am and 8pm and the ability to travel between our sites is essential.

About us

We are a large busy practice covering Littleover, Sinfin, Alvaston and Allenton looking after approx 40,000 patients. The post-holders will be expected to travel to all Derby Aspiro Sites; including Hollybrook Medical Centre, Haven Medical Centre and Parkfields Surgery.

We are looking for a dynamic, enthusiastic, self-motivated person with excellent communication skills who can treat every patient. with care, dignity and respect whilst maintaining an efficient service. They must be a team player and possess excellent organisational / IT skills.

Job Summary

The post-holder will undertake administration duties which involve heavy patient contact via the telephone listed below, although not exhaustive, to support the smooth running of the practice.

Job Responsibilities:

Clinical Administration

QoF:

- Support the management and achievement of QoF - ensuring QoF targets using an effective LTC monitoring process

- Support the Childhood Immunisations programme and achievement working alongside the Nursing team

- Support the promotion and utilisation of these services to improve patient care

Enhanced Services:

- Support the management and achievement of National and Local Enhanced Services - ensuring that targets are met using an effective recall system

- Support the promotion and utilisation of these services to improve patient care

- Be involved in national campaigns such as vaccinations and cancer screening

PCN DES / IIF:

- Support the management and achievement of PCN DES targets - ensuring targets are met using effective processes

Recall / report management and monitoring:

- Manage the high risk drug monitoring process working alongside the Pharmacy team

- Support the management of clinical recalls working alongside the Nursing team

- Cytology recalls as per QoF including the management of Open Exeter for Cytology purposes and cytology pathology administration

Patient communications:

- SystmOne tasks

Practice Administration

Registrations:

- EDI Administration

- GP2GP transfers and degraded entries

- Lloyd George management

- Death administration (including medical certificates, cremation forms, death register management)

Online Access:

- Patient registration

- Additional access requests i.e. full clinical record, detailed coded record, proxy access etc

Document management:

- Scanning / importing clinical documents

- Matching clinical documents

- Coding clinical documents

- Allocating clinical documents requiring further actions

Medical reports / subject access requests (SARs):

- Processing of medical reports with iGPR

- Request and retrieval of private fees

- Dissemination and booking of medical reports requiring face to face examinations / observations

- Completion of SARs

Pathology administration:

- Bowel results administration

- Warfarin results administration

Patient communications:

- Website dashboard management

- Practice generic emails

- SystmOne tasks
