Job summary

We are recruiting for a Workflow Team Leader on either a full time basis or a part time basis (minimum of 30 hours per week) who will be responsible for the day to day line management of the workflow team, ensuring all workflow duties are performed effectively and to the required standard, meeting the objectives of the practice.

Main duties of the job

The Workflow Team Leader will be responsible for ensuring effective and efficient service delivery and identifying and developing future strategy of the team.

Job description

Job responsibilities

AHP operates via self-managed teams. As the Team leader the post holder will be responsible for:

  • Day to day line management of the team
  • Ensuring effective and efficient service delivery and
  • Identifying and developing future strategy of the team in line with AHP strategy

Day to day line management of the workflow team including scanners

  • authorising annual leave
  • sickness absence monitoring and return to work interviews
  • regular mentoring through 1:1s +/- team meetings
  • ensuring all mandatory training is up to date
  • undertaking annual appraisals and PDPs
  • identify and where appropriate deliver training
  • manage poor performance when required
  • lead the recruitment and interview and induction process of all new staff
  • Maintain effective budget control eg. authorise overtime where appropriate
  • Undertake Risk assessments including display screen equipment assessments
  • Work with the GP Lead to co-ordinate and feedback common themes from individual staff audits

Ensuring effective and efficient service delivery

  • Continually review and update all workflow Standard Operating Procedures and Guidance as required
  • Set up, agree key and monitor performance indicators
  • Instil a culture of continuous learning and improvement through regular review of incidents and feedback.
  • Act as a focal point for communication, advising workflow staff on methods of coding, administration and best practice
  • Undertake workflow clinical correspondence
  • Participate in regular audit of your work with the GP Lead
  • Ensure all workflow staff are subject to audit of their work by the GP clinical lead or postholder as appropriate.
  • Coordinate meeting agendas and ensure a record the monthly workflow meetings are kept and any other relevant meetings as required.
  • Develop close working relationships other practice professionals in the wider workflow process eg. GP Clinical Lead, Lead Nurse, Lead Pharmacist
  • Develop close working relationships with other AHP Team Leaders to ensure cohesion of operations eg. IM&T Lead, Admin Team, Reception Teams
  • Develop close working relationships with external agencies, as required.
  • Support the management team in the compilation of assurance reports and the practice development plan
  • Support AHP management with compliance through a system of audit, incident reporting and standard setting eg for CQC, QOF, local and national NHS priorities
  • Report to the Exec for service delivery on operations issues and seek clinical input and advice from the GP Lead.

  • GCSE English (C or above) and at least three others
