We are a friendly GP Practice situated on the Singleton University Campus. We currently have over 7000 patients registered with us, who are mainly students of Swansea University. We offer a range of services to our patients and always ensure that patient care is at the forefront of what we deliver.
We have an exciting opportunity for a part time receptionist/administrator to join our team, to work with us to deliver the care to our patients that we pride ourselves on.
Main duties of the job
The main duties of this exciting role would be to greet patients on the telephone, in person and via email contacts. Answering the telephone to patients, health colleagues and routine enquiries. Signposting patients to various available resources within the community. Booking future appointments for the patients, dealing with local pharmacies. Printing repeat prescriptions when available to do so. Processing new registration forms accurately on the IT system. Various admin duties are required to maintain the excellent standard of service that the practice currently prides itself on. The role is offered on a part time basis28.5 hours a week. The hours in the first instance will be Monday 2-6pm, Tuesday 9-4pm, Wednesday 9.00-4.30pm, Thursday 9.00-4.30pm and Friday 2-6pm.

We are currently a 3 GP Partner practice with 2 practice nurses, a Mental Health Liaison Nurse and a Counsellor all attached to our practice and working closely with our patients.

- Opening up/Locking up of the practice premises and maintaining security in accordance with practice protocols
- The post holder will be the first point of contact between the patients and the clinical teams
- The post holder will deal with "Engage Digital request System"
- The post holder will maintain an accurate filing system
- The post holder will print repeat prescriptions on request
- The post holder will maintain a working knowledge of the "Vision" system
- The post holder will deal with any telephone enquiries in a respectful and friendly manner, ensuring correct details are recorded and forwarded to relevant personnel
- The post holder will need to deal with queries from doctors and patients on a daily basis
- The post holder will assist with scanning and filing of correspondence into patient's medical records
- The post holder will take accurate messages and pass on information appropriately
- The post holder will need to be a flexible member of the team, providing cover for colleagues as appropriate
- The post holder will undertake training courses as directed by the Practice Manager
- The post holder will communicate effectively with other team members

Qualifications
Essential
- Good standard of education to GCSE, O Level minimum in Maths & English achieved is essential.
- Experience of working with the public, face to face or by telephone.
- Computer literature
- Previous administrative working is an advantage
- The successful candidate will need to have excellent organisational skills, a good telephone manner, and excellent communication skills both verbal and written
- Must have the ability to display empathy and sympathy towards others
- Must have excellent customer care skills
- Must have good use of written and spoken English
- Must have the ability to work unsupervised and organise delegated work to meet deadlines
- Must have the ability to work in a stressful situation and be able to cope with interruptions when needed
- Must be able to remain calm in stressful situations
Desirable
- It would be desirable to have a word processing/typing qualification
- ECDL or equivalent
- Experience of being a GP receptionist would be a distinct advantage
- Welsh speaker
- Advanced IT skills
- Knowledge of medical terminology
