MAIN DUTIES AND RESPONSIBILITIES
To
maintain the confidentiality of clinical and management information at all
times
To
work within the requirements of the Data Protection Act
To
comply with Practice policies, procedures and protocols
To
facilitate a welcoming atmosphere
Effective
management of the Appointment System
To
answer the telephone and deal with patients queries and requests
General
administrative duties
Work
as part of the Administration Team to ensure the smooth running of Reception
Assist
the Clinical Staff and Administration Manager
1. GENERAL DUTIES
- To
open the surgery when required following procedure
- To
lock up the surgery when required following procedure
- To
retrieve and re-file medical records when required.
- Scan
documents
- To
chaperone when necessary
- Chase
up laboratory results if requested
- Keep
the waiting areas neat and tidy
- Ensure
the consulting rooms are prepared in readiness for each surgery session
- Ensure
all mail is ready for posting and taken to the post box when required
- Open
mail and distribute as necessary
- Make
tea and coffee and wash up as required
- Take
and record messages appropriately
- Answer
the telephone in accordance with Practice procedure. Putting calls through in a friendly and
efficient manner
- Maintain
supplies in consulting rooms
2. RECEPTION DUTIES
- To
greet all patients and visitors presenting a the reception desk in a
welcoming and pleasant manner
- To
deal with patient enquiries regarding clinics within the practice; giving
correct and up to date information and directing them as appropriate
- To
manage the visitors book ensuring all visitors are checked in and are
informed of the importance of checking out
- Oversee,
monitor and take any steps necessary to ensure the smooth flow of patients
to and from the clinics held within the practice
- Deal
with payment of fees for non-NHS work and pass these immediately to the
Practice Manager
- Ensure
any patient arriving without an appointment but wishing to be seen
urgently is dealt with according to practice policy
- To
register new patients and temporary residents according to practice policy
- To issue repeat prescriptions and pass any
enquiries to appropriate colleague
- To
accept messages for Doctors and nurses and record appropriately
- Maintain
supplies of stationery in the reception area
- Update
and hand over any unfinished tasks to the colleague following on the next
rota slot
- Manage
loan and return of BP machines
3. PROCESSING
PRESCRIPTIONS
- Process
all requests made for repeat prescriptions in accordance with Skelmanthorpe
Family Doctors Procedures
- Ensure
repeat prescriptions are processed and issued within two working days
- Consult
with the GPs regarding any requests/information received for changes to
medication
- Be
up to date with computer processing of repeats.
- Identify
any training needs, bringing them to the attention of the Administration Manager
4. APPOINTMENT BOOKING
- Manage appointments for all Clinical staff
- Manage
requests for home visits in accordance with Practice procedure
- Provide
home visits reports for GPs
- Process
emergency calls in accordance with Practice procedure
- Book
ambulances for patients in accordance with Practice procedure
- Expedite
hospital appointments for patients when required
5. DATA
MANAGEMENT/MAINTENANCE
- Enter
data on the computer if required from letters/results for patients
- Scan
any documentation onto system on a daily basis
- Maintain
patient record information in respect of changes to details
- Deal
with new patient registration
- Deal
with patient deductions
6. ADDITIONAL
RESPONSIBILITIES
- To
undertake any other duty which may be requested by the Partners or Administration Manager to ensure the
efficient running of the practice

Confidentiality protection of patients, Practice and work colleagues
