Main duties of the job

Your main reasonability will be to monitor the practice appointment system. You will interact and assist with patients face-to-face and over telephone. Your aim will be to give the best patient experience from start to finish.

Job description

Job responsibilities

1) To be responsible for opening and closing the surgery

2) All patients and visitors are to be greeted in a courteous and polite manner

3) Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

4) Keeping all patient identifiable data stored securely, appropriately and not visible to the public in line with GDPR regulations.

5) Accurately maintaining and monitoring the practice appointment system. Checking patients in for appropriate clinician/session holder.

6) To monitor and administer the filing tasks

7) Pull out patient paper medical records/test requests, as requested.

8) Ensure all details on patient electronic medical records are complete and correct i.e. contact number, NHS no, next of kin, carer details, address, etc. Review ALERTS to ensure still relevant, if not update or delete, as appropriate.

9) PDS check that it is BLUE, if not, review and correct.

10) Appropriately and accurately action incoming email/documents i.e. out of hours (LCW OOH/COOP), emergency admissions, discharges bring to the GPs attention.

11) Sort and date stamp all incoming post daily ensuring that it is scanned and put for the appropriate staff members attention

12) Scanning to be done daily all documentation received should be scanned within 24 - 48hrs.

13) New patient registration: ensure all details on the registration form are complete together with the patient questionnaire are signed by patient.

14) When making follow-up appointments, seek advice of relevant time-frame from GP/Nurse.

15) All calls are to be answered with Good morning/afternoon, St Stephens Health Centre Your Name speaking, how can I help?

16) Record all messages in EMIS Web, messaging system or TASK, as appropriate and send to relevant team member. Ensure you note; the name, contact number, purpose of call/message and date. Important to also you're your initials, so the member of staff knows who to follow up with. Follow-up verbally if team member is not on site at the time to ensure action was taken.

17) All invoices bills to be placed for PM attention.

18) Complete administration of prescription requests and file and action as appropriate or manually for GPs attention. Record collections of scripts by patient, chemist etc., at all times.

19) Health & Safety All staff to ensure that areas of the practice are free from obstruction and all surfaces are clean and dry to avoid slips or injury to patients and visitors.
