Main duties of the job

To be responsible for the efficient supervision the reception team, ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the practice.

To support the management team in promoting ED&I, SHEF, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development, and to carry out other duties as directed by the management team.

Job description

Job responsibilities

The Reception Supervisor is responsible for:

1. To support the navigation of all patient queries and needs

2. To offer guidance and support to the reception team

3. Providing initial guidance and advice to patients who wish to verbally complain, if not possible to resolve to begin complaints process and refer to Deputy Practice Manager for next steps

4. Overseeing the administration and support operations of reception, ensuring staff achieve their primary responsibilities, i.e. Answering phones, tasks, prescriptions, scanning, emails, registration, referrals, safety netting, ordering stationary, recalls, queries, accuRx and admin today and any other ad hoc needs

5. Line managing all reception staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training

6. Support management to complete staff appraisals as required

7. Identifying and delivering team training where required

8. Coordinating staff rotas on a weekly basis

9. To monitor and record accurately any absences and annual leave requests

10. Acting as a focal point for the practice, managing requests from patients external organisations such as the local police, solicitors, DVLA and other agencies etc.

In addition to the primary responsibilities, the Administration/Office/Reception Manager may be requested to:

1. Support and coordinate recall process as directed by the recall lead

2. Champion continuous improvement, encouraging staff to participate and make suggestions

3.Assist with QOF targets
