Job summary

We are a busy GP practice in Scawsby with a branch surgery in Bentley and are looking to recruit a new receptionist to join our team. The hours will be on a rotational basis based across our two sites.

We are looking for a polite, professional, friendly and motivated individual, with good customer service and computer skills, keen to work as part of a practice team within an NHS environment.

The successful candidate should have confidence when dealing with patients in all situations with the ability to remain calm and professional at all times.

Ensure accuracy is applied to all areas of work.

Take instruction and follow policies and procedures.

Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.

Manage own workload and have the ability to prioritise.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Main duties of the job

Administration

Undertake a variety of administrative duties to assist with the smooth running of the practice.

Have a thorough knowledge of all Practice procedures and work in accordance with written protocols.

Provide clerical assistance to include data processing, scanning, filing, photocopying and laminating.

File and retrieve paperwork. Sort and tag.

Register new patients.

Assist with medical record requests.

Assist in the maintenance of disease registers.

Reception

Answer all calls promptly in accordance with protocol and direct patients to the appropriate healthcare professional.

Process appointment requests by telephone and in person and deal with Home visit requests.

Respond to requests from patients, other team members and associated healthcare agencies and providers.

Promote services to patients.

Process repeats prescription requests in accordance with Practice guidelines.

Monitor and process practice email accounts, sort incoming mail and process outgoing mail.

Deal with and complete queries/enquiries as per practice protocols.

Keep the reception area tidy, free from clutter and with up to date paperwork. Replenish stationary where required.

Other Tasks

At the end of the day, check surgeries, replenish stock, make sure all areas are clean, tidy and ready for the next day as per practice protocol.

Ensure building security is maintained in accordance with CQC guidelines.

Any other tasks allocated by Lead Receptionists, Senior Administrator and Practice Manager.
