Job summary

We are a busy GP Surgery and we are looking to recruit a highly motivated, professional individual with excellent Customer Service Skills to join our friendly reception team.

The role will be for 20 hours per week. The successful applicant must be able to demonstrate flexibility as there is a rota system in operation and this means you may be working either a morning or an afternoon shift. Our opening times are 07.30am - 18.30pm, Monday - Friday.

Main duties of the job

The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks; this will depend on factors such as workload and staffing levels as directed by the Lead receptionist, Practice Manager or The Partners.

a. To work on the front reception desk supporting patients in a face to face situation.

b. To use the telephone to call patients and take inbound calls from patients.

c. Book, change and cancel appointments for patients in line with current policies and protocols.

d. Deal with various matters at the front desk, like prescription requests, patient registrations, patient signposting and carrying out duties as requested by the Lead Receptionist, Practice Manager or the Partners

e. To work with other team members and support the practice operationally. The bulk of the reception work will be on the reception desk dealing with patients in a face to face situation.

The hours for this role are very specific in order to cover the core hours when the surgery is open. The opening hours are 07.30am - 18.30pm. We need someone who is very flexible and who can work both morning and afternoon shifts. We operate a rota system.

About us

We are a friendly practice in the centre of Cleckheaton with 9032 patients.

We have 5 GP partners, 2 Trainee ACPs, 2 Practice Nurses, 2 HCAs, a very friendly and helpful reception and admin team, as well as a Practice Manager and a Business Manager.

Job responsibilities

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Job responsibilities:

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Enter requests for home visits, ensuring careful recording of all relevant details and where necessary refer to duty doctor.
  • Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.
  • Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
  • Enter patient information on to the computer as required.
  • Patient notes and correspondence:

* Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.

  • Ensure that all new patients are registered onto the computer system promptly and accurately
  • Undertake any other additional duties appropriate to the post as requested by the Lead Receptionist, Practice Manager or Business Manager.
  • Premises:

Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
