Job summary
We are looking for an experienced GP Medical
Secretary to join our team. The job will predominantly be work alongside our
current Medical Secretary but will also include some administrative duties as
outlined in the job description. We are seeking an enthusiastic, motivated and
proactive candidate to join our team.
The successful candidate will
need to provide a first-class level of Secretarial and Administrative duties to
support the wider team at the Practice. We will expect them to enjoy working in
a busy office environment and be prepared to go the extra mile.
The role of Secretary is
rewarding but can be demanding so we are looking for someone who is confident,
has excellent communication skills, is highly organised and good at
multi-tasking.
The successful candidate must be
computer literate and have a flexible approach to working.
Experience of working in a GP healthcare environment would be an essential.
The job will be 25 hours per
week , over 4 or 5 days with shift patterns agreed to suit.
The job is practice based as it is essential to provide support to your colleagues in person.

Main duties of the job
- Typing clinical letters, reports and associated documentation
- Processing referrals efficiently via ERS
- Liaising with hospitals, community services and other agencies
- Managing telephone enquiries in an effective and professional manner
- Maintaining accurate referrals and patient records
- Scanning and attaching documents to patient healthcare records
- Inputting data and read coding on EMIS Web
- Processing SARs, insurance reports, solicitors letters and DVLA forms
- Answering incoming phone calls and handling requests appropriately
- Supporting clinicians and Practice Partners with administrative and PA duties
- Supporting reception and providing cover when needed
- Participating in audits and practice searches as requested
- Maintaining a clean and organised working area

The post holder is responsible for all GP medical secretarial support using the EMIS Web system and other means of secretarial paperwork. The post holder is also responsible for all Choose and Book administration and associated referrals.
Main Duties and Responsibilities
Use the e-referral system to select the appropriate specialty and clinic, providing patients with a shortlist of available services to enable appointment booking.
Send e-referral paperwork to patients with a covering letter.
Email non e-referrals to the appropriate service.
Type and copy medical reports, raise invoices, and maintain invoice spreadsheets where applicable.
Handle requests for copies of medical records, including:
Sending out requests for prior payment.
Printing electronic records.
Photocopying paper records.
Sending records via recorded delivery and entering details on a spreadsheet.
Scan letters that need to be sent electronically with referrals.
Check and action NHS mail (both personal and practice accounts).
Check and action internal emails.
Check tasks on Emis Web system, taking necessary action by contacting patients or hospitals.
Check and action e-referral worklists.
Create and edit referral and other letter templates in Emis Web Documents.
Answer telephone enquiries relating to referrals, reports, letters, etc.
Undertake any other duties requested by the Senior Management team. The Partners reserve the right to amend the job description according to business requirements.
