Job summary

We are a semi-rural Practice in a beautiful part of Cornwall looking for an exceptional individual to become the Strategic Practice Manager of our forward-thinking dispensing Practice in Liskeard, due to the retirement of our current Practice Manager. Main duties of the job

Key elements of the role:

  • Contribute to practice strategy; Identify and evaluate potential business opportunities and partnerships. Prepare business cases, financial models, and risk assessments to support decision-making.
  • Collaborate with senior leaders to define our strategic goals and objectives. Play a lead role in strategic planning framework. Timely decision-making to ensure we are prioritising the right activities, in the right way at the right time.
  • Lead, manage and motivate Partners and staff.
  • Optimise financial performance.
  • Operational management of day-to-day practice procedures ensuring a patient focused approach
  • Streamlining of workflows to maximise efficiency.
  • Work closely with the management team to ensure CQC compliance.
  • Patient and community engagement, taking an active role in wider stakeholder engagement and strategic planning with our Primary Care Network.
  • What you'll bring to the role:
    • Previous management experience is essential, ideally in Primary Care.
    • Sound understanding of the local and national health systems.
    • Financial planning and budgetary management.
    • Experience of effectively managing a multidisciplinary team with excellent communication skills and HR management knowledge and expertise.
    • Transformational leadership skills with the ability to both support and challenge.
    • Excellent communication and interpersonal skills with a high level of emotional intelligence.

Job summary:

The Strategic Practice Manager plays a pivotal role in the operational effectiveness of our practice. This position involves working closely with the senior leadership team to define, communicate, and implement priorities that deliver high quality patient outcomes and create a working environment and culture that supports and challenges high performance expectations.

Job responsibilities:

Strategic management and planning

The post holder will:

Identify potential risks and develop strategies to promote strong governance. Staying informed about regulatory changes and compliance requirements is a must.

Contribute to practice strategy; Identify and evaluate potential business opportunities and partnerships. Prepare business cases, financial models, and risk assessments to support decision-making.

Collaborate with senior leaders to define our strategic goals and objectives. Play a lead role in strategic planning framework. Timely decision-making to ensure we are prioritising the right activities, in the right way at the right time.

Develop and maintain effective communication both within the practice and with relevant outside agencies such as the PCN and ICB.

Assess and evaluate accommodation requirements and manage development and expansion plans.

Be the key point of contact with CQC inspectors. Play a vital role in preparing for the inspection process. Lead on and co-ordinate all inspections, including feedback, data provision and action plans. Keep up to date with regulations.

Financial management

Analyse financial data, budgets, and forecasts to assess the financial health of the practice and identify areas for improvement. Provide recommendations for cost optimisation, efficiency, value-for-money, and revenue enhancement.

Understand and report on the financial implications of contract and legislation changes.

Manage practice accounts; submit year-end figures promptly and liaise with the practice accountant.

Monitor payroll and liaise with Fairway Training to ensure all staff paid correctly.

Manage appropriate systems for handling and recording of cash and cheques and petty cash.

Human resources

Monitor and evaluate performance of the practice team against objectives; identify and manage change. Establish key performance indicators (KPIs) and benchmarks to assess the effectiveness of practice. Continuously monitor and report on progress.

Oversee the recruitment and retention of staff ensuring all members of staff are trained appropriately according to roles and responsibilities.

Manage staffing levels within target budgets.

Develop and implement effective staff appraisal and monitoring systems.

Support and mentor staff, both as individuals and as team members

Implement effective systems for the resolution of disputes and grievances.

Keep abreast of changes in employment legislation.

Maintain up-to-date HR documentation (including job descriptions, employment contracts and employment policies).

Organisational

  • Convene meetings, prepare agendas, and ensure distribution of minutes as necessary.
  • Develop Practice protocols and procedures, review and update as required.
  • To manage premises, assets, and equipment. You will also be responsible for the oversight of all building maintenance contracts.
  • Manage the procurement of practice equipment, supplies and services within target budgets and ensure equipment maintained.
  • Develop and review Health & Safety policies and procedures and keep abreast of current legislation.
  • Arrange appropriate insurance cover.
  • Ensure that the practice has adequate disaster recovery procedures in place.
  • Safeguarding sits at the heart of our service. The post holder is responsible for ensuring safeguarding policy and practise is effective and kept under regular review to ensure the safety and well-being of our patients, staff, and visitors always.

Patient services

  • Adopt a strategic approach to the development and management of patient services.
  • Ensure service development and delivery is in accordance with local and national guidelines.
  • Ensure that the practice complies with NHS contractual obligations in relation to patient care.
  • Maintain registration policies and monitor patient turnover and capitation.
  • Routinely monitor and assess practice performance against patient access and demand management targets.
  • Develop and implement an effective complaints management system.

Information management and technology

  • Evaluate and plan practice IT implementation and modernisation.
  • Keep abreast of the latest development in primary care IT and regularly update the practice management team.
  • Motivate, support and monitor staff in the use of IT; organise, oversee, and evaluate IT training.
  • Set targets and monitoring standards for data entry and data collection.
  • Ensure that the practice has effective IT data security, back-up, maintenance, and disaster recovery plans in place.
