An exciting opportunity has arisen for a highly motivated Medical Secretary to join a friendly, supportive and dedicated team. If you are a reliable, outgoing professional who loves interacting with people on all levels and want to play a crucial role in supporting the primary care sector and growing practice, then you are just the type of candidate for this role.
This position is to work 6-8hrs on a Monday and 6-8hrs on a Wednesday. You would be part of a team of 2 Secretaries.
Main duties of the job
The successful post holder will be responsible for
undertaking a wide range of secretarial and administrative duties to support
the practice.
We are looking for a secretary who can work well
autonomously and as part of a team and have the ability to organise and prioritise
their own workload on a day-to-day basis.
Day in the life of a Medical Secretary

Raising e-referrals and bookings, routine, and urgent
referrals

Chasing referrals and answering patient queries
via phone
Experience and skills in the following
areas are essential:

S1 experience

Must have previous experience of Medical
Secretary, including knowledge of choose and book, routine and urgent referrals
and medical notes

High attention to detail

Flexible

The post holder must have good interpersonal and
organisational skills, be able to manage and prioritise heavy workload and be
able to work under pressure, both on their own and as part of a team

Computer skills are essential

Excellent phone manner

The following are the core responsibilities of the medical
secretary. There may be, on occasions, a requirement to carry out other tasks,
this will be dependent upon factors, such as workload and staffing levels
levels.
- Typing, letters, reports and associated documents as
required.
- Liaising with external agencies, such as hospitals and community
services, ensuring referrals are processed efficiently.
- Managing all enquiries and effective manner.
- Maintaining an accurate referrals Database.
- Actioning, all incoming emails.
- Processing letters as requested.
- Scanning of patient related documents and attaching
scanned documents to patient healthcare records.
- Inputting data into the patients healthcare records as
necessary.
- Processing referrals, using the electronic referral
system (ERS).
- Clinically coding data onto S1.
- Answering incoming phone calls, transferring calls or
dealing with the callers request appropriately.
- Managing all administrative queries as necessary.
- Maintaining a clean, tidy, effective working area at all times
- Supporting all clinical staff with general administrative
tasks as requested.
