Job summary

Wye Surgery is recruiting two part time Care Navigators.

Position 1:Monday 8-5.30, Tuesday 8-2, Thursday 8-1 and Friday 8-2. Total 26 hours per week.

Position 2: Tuesday 2-8, Wednesday 8-5.30, Thursday 8-2, Friday 1-6.30. Total 26.5 hours per week.

The successful applicant will be working as part of our friendly, caring and supportive team in a beautiful village setting. There are excellent transport links from Ashford and Canterbury and the train station is a few minutes walk from the practice. Free staff parking is available onsite.

We are looking for someone with:

  • Excellent customer services skills
  • Previous clerical experience
  • Experience of Microsoft Office and databases
  • Excellent standards of literacy
  • Excellent communication skills
  • The ability to work as part of a team and autonomously when required
  • The ability to work well under pressure
  • Flexibility able to cover sickness and holidays
  • An understanding of the importance of confidentiality

General Practice experience is desirable but not essential as full training will be given.

It is essential that you have the flexibility to cover additional hours when required, including until 8pm and Saturdays if our core hours are extended.

We will be looking to start people in post as soon as possible.

Main duties of the job

The role will include:

  • Ensuring our patients have a positive experience at the surgery.
  • Booking appointments over the telephone and face to face.
  • Dealing with enquiries.
  • Completing new patient registrations
  • Processing patient documentation including Docman Workflow
  • Dealing with surgery administration including insurances and SARS.

You will be working as part of our friendly reception and administration team. Wye Surgery is a CQC rated outstanding practice with 10,000 patients. We are a training practice with an on site dispensary.

Job description

Job responsibilities

Ensure that the Practice is ready for opening at the required time and that all equipment, rooms and facilities are in good working order. Any faults to be reported to the Office Manager or Supervisor immediately.

Attend to patients both face to face and on the telephone.

Dealing with requests for home visits both on the phone and by the District Nursing team.

Booking of appointments on to the clinical system, including allocating of E-consults.

Complete patient administrative tasks in Docman and Emis.

Assisting patients wishing to register with paperwork as required, registering onto the clinical system in a timely manner.

Receiving new patients medical records and logging as required.

Pulling and distributing medical records as required by Doctors or for change of address, insurance reports etc.

Safe guarding patients privacy and confidentiality at all times.

Deal with all outgoing post.

Ensuring reception waiting area is kept clean and tidy at all times.

Ensuring that all messages or unresolved matters are passed on to other members of the reception team.

Ensuring the reception desk is kept sufficiently supplied of all relevant documents.

Complete shredding and filing in a timely manner.

Completing any in-house or external training as required by the Practice.

Acting as a chaperone when required, once training has been given.

Carry out kitchen and security checks at the end of the day.

Ensure that tasks of absent members of the team are carried out during leave or sickness.

Each receptionist will have specific administrative tasks that they have been allocated, these will be reviewed on a regular basis with the Supervisor/Office Manager and should be carried out as per the relevant protocols and procedures in place.
