Job summary
Wye Surgery is a forward thinking, training and dispensing practice based in the picturesque village of Wye, Ashford.
We are looking for two part time (job share 20 hrs per week) administrators to provide support services for clinicians and members of the practice team.
The main purpose of the role is to process patients referral letters and medical reports in a timely manner, be a point of contact for patients requesting information about their referrals and ensuring that templates and supporting documentation are kept up to date on EMIS.
The successful applicants will be excellent administrators who are able to work accurately and efficiently to tight deadlines. You should be flexible, able to work under pressure and enjoy working as part of a team. Excellent verbal and written communication, customer service and IT skills as well as the desire to help people are essential for this role.
General Practice experience is desirable but not essential as full training will be provided.

Reports to: Office Manager and Office Supervisor
MAIN DUTIES AND RESPONSIBILITIES
- Use digital dictation to produce referral letters and process onto e-referrals.
- Ensure letters and referrals are correctly entered onto the patients EMIS notes under the correct heading.
- Ensure that referrals are signed by the referring GP if necessary or another in their absence.
- Ensure referral letters are sent to the correct location in a timely manner.
- Process e-referrals in accordance with current protocols.
- Maintain e-referral work lists.
- Install new referral templates on EMIS.
- Provide Telederm administration.
GENERAL DUTIES
- Receive and take calls as required. Diverting calls and taking messages as necessary.
- Ensure all staff are kept updated of changes to referral procedures.
- Process incoming post when required to do so.
- Respond to any ad-hoc requests as and when necessary.
- Any other delegated duties considered appropriate to the post.
