Job summary
Bay Medical Group are recruiting for a Site Support. The purpose of this role is to improve the provision of management support at each Site by assisting in the day to day running of the Site alongside the Site Managers and in their absence.
Main duties of the job
This role is advertised at 30 hours per week. This post holder will work floating shifts and shifts will be allocated 4 weeks in advance.
We operate out of 5 sites across Morecambe and as a Patient Advisor whilst you will have one site identified as your main site, you may be asked to work at any of our 5 sites.
We offer an excellent in-depth training plan over a number of weeks.

MAIN DUTIES
In addition to all duties and responsibilities detailed in the Patient Advisor Job Description:-
- Assist in the general running of the Site(s) alongside the Site Manager(s).
- Assist with the opening and securing of premises, in the absence of Site Manager.
- Assist in the daily supervision of Patient Advisors within the site alongside the Site Manager and in their absence.
- Be an emergency contact and key holder for Site(s) in the absence of a Site Manager
- Be a point of contact for general queries on site from patients and all BMG team members in the absence of a Site Manager.
- Compile and disseminate weekly Patient Advisor Team Briefings alongside other Site and UC Support team members.
- Assist with the preparation, support and training and development of new and existing PA team members on sites and to the wider team on PLT afternoons and induction.
- Provide positive management behaviour to all Patients, visitors, and staff providing wellbeing conversations if necessary.
- Assist the Site Managers and be involved in the Performance management of all PA staff including conducting observations on site, as and when required, and feedback to Site Managers/Line Managers.
- Assist the Site Managers with the management of attendance.
- Maintain and update patient area notice boards and promote monthly Health Campaigns.
- Assist other Managers with managing PA rotas on site i.e. managing short/long term PA sickness when required and in the absence of a site Manager.
- Assist with the ordering of stationery and consumables in line with site budgets on Site.
- Create site weekly clinical room rotas; liaising with Rota Team and load on to SharePoint.
- Assist daily with all palliative care administration work/ ADASTRA & ERISS. Work together with and liaise with Site Managers and GP admins as required.
- Conduct all necessary site audits/spot checks as and when required by Site Managers (i.e weekly, monthly etc).
- Assist with on the day cancellation of clinics on Sites, and liaise with relevant team members as appropriate.
- Assist with any verbal patient complaints on site in line with Practice policy in the absence of a Site Manager and liaise with Patient Engagement Manager if so required.
- Monitor Tasks (micro-teams) ensuring staff are completing these on sites at quiet times/liaise with Site Managers.
- Communicate daily with Urgent Care Managers / Clinical Assessment Team regarding Accurx inbox(s) and appointment availability as required.
- Assist with Health and Safety aspects of the Site eg any fire tours /reporting accidents in line with protocol in the absence of Site.
- Carry out weekly fire alarm testing on site; and in the absence of a Site Manager and complete necessary logs.
- Be a trained Fire Marshall (across sites).
- Have knowledge of all emergency process on sites; including and i.e., Security Alarm company / Building Managers and other services (Including the location of the of Business Continuity Plan).
- Assist with sickness reporting on sites i.e. PA staff and clinicians and informing relevant teams in the absence of Site Manager.
- Attend three-monthly Support team meetings with lead Support Manager and Lead Operations Manager, taking and typing minutes on a rota basis as required.
- Assist in covering PA uncovered shifts as and when required.
- To ensure sites end of day lists are completed, stock checks and restocking of rooms is undertaken by PA staff, and surgeries printed off for the following working day.
- Be flexible and able to work across our five sites at short notice.
- Assist and work with Site Managers in all preparation work and tasks as required for CQC inspections.
- Assist and work together with Site Managers, Link IPC Nurses and IPC Champions, having knowledge of IPC/COSHH/National Cleaning Standards in Healthcare and assist and carry out spot checks/inspections as may be required and report any findings/ potential breach of regulations to the Site Manager/Lead Site Operations Manager/IPC Lead.
