We are easily accessible from larger areas of Chesterfield, Sheffield and Buxton

We are looking for someone to manage our dispensaries, over both sites. We dispense to approximately 3600 patients.

Main duties of the job

We are looking for someone with at least a level 2 dispensing qualification, that ideally has some dispensary knowledge.

The role will encompass dispensing medications, supporting the dispensers, liaising with suppliers to get the best deals, having a financial oversight of claims alongside the practice manager. More details in the attached job description.

About us

We have 8500 patients and are based at 2 sites, Bakewell and Tideswell. Both sites have a dispensary. The dispensary are staffed by a lovely team of supportive dispensers. The practice is led by 2 GP partners. There is a practice director (practice manager), a reception manager and operations managers. We have a supportive administration team. GPs and a nursing team that work over both sites

Job description

Job responsibilities

The following are the core responsibilities of the dispensary manager. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. To be responsible for planning and allocating work for all dispensary staff

b. To oversee all dispensing matters within the practice, checking colleagues dispensing as required

c. To dispense prescriptions for patients

d. To collect prescription charges from patients, cash up and balance monies received

e. To manage the monies at the end of the month, aligning to reimbursements

f. To cross reference number and value of prescription charges against statements, ensuring accuracy

g. To effectively coordinate the requests for repeat prescriptions

h. To ensure requests for repeat prescriptions are processed within a set timeframe

i. To manage the return of medicines from patients

j. To deal with uncollected medication in accordance with current policy

k. To effectively manage stock levels within the dispensary, ensuring adequate levels are held, minimising wastage and expenditure

l. To promote a safe and effective working environment, conforming to legislation, ensuring drugs are stored appropriately, within temperature parameters and securely

m. To effectively manage the cold chain process, ensuring all staff are aware of the requirement to accurately record temperatures and store items appropriately

n. To conduct stock-takes in accordance with guidance

o. To assess invoices for payment and identifying VAT for Personally Administered drugs, liaising with the Practice Manager as required

p. To assist with QOF and IIF targets

q. To be responsible for the effective line management, appraisal and development of dispensary staff

r. To work with a supervisor to take responsibility for developing their own clinical competence, leadership and reflective practice skills within the workplace

s. To support patient discharge medications with an appropriate staff member.

t. To create a robust process for personally administered drugs, ensuring all products are claimed for.

u. Liaise with suppliers and ensure we are signed up for discount schemes.

Secondary responsibilities

In addition to the primary responsibilities, the dispensary manager may be requested to:

a. Deputise for the Dispensary/Practice Lead in their absence

b. Partake in audits as directed by the audit lead

c. Provide mentorship and guidance for trainee dispensary staff and students

d. Review the latest guidance, ensuring the dispensary conforms to NICE, CQC, etc. guidance

e. Support the Dispensary Lead/Practice Manager in producing pharmacy/prescribing newsletters or bulletins on a quarterly basis

f. Line manage the dispensary staff in accordance with current practice policy
