Job summary

We are seeking an experienced and motivated Operations /Project Manager to join our leadership team within a busy, forward-thinking multi-site GP practice. This is a key role supporting the Practice Manager and Partners in the day-to-day operational management of the practice while taking a lead role in delivering short-term and strategic projects that support practice growth and service development.

The successful candidate will work across all practice sites, ensuring consistency, quality, and efficiency, and will play a pivotal role in projects such as practice boundary expansion, setting up new or additional branch surgeries, and implementing additional clinical services.

Main duties of the job

Key Responsibilities

  • Support the Senior Leadership Team in the operational management of a multi-site GP Partnership.
  • Lead and deliver defined short-term projects, including service expansion and new site development
  • Coordinate and support administrative and non-clinical teams across multiple locations
  • Ensure consistent systems, processes, and patient experience across all sites
  • Work closely with GP Partners, clinicians, PCN colleagues, and external stakeholders
  • Support financial planning, contract delivery, and business development
  • Contribute to governance, compliance, and quality improvement activity

Job description

Job responsibilities

This pivotal role encompasses IT, building and data management, as well as Information Governance duties and line management of the Administration Team.

IT Management: As the practice IT lead, it is the Operations Managers responsibility to ensure the smooth running of the practice from a technical perspective. This includes general IT fixes, liaison with commissioning support units and facilitating rapid adjustments in response to unforeseen change. As well as this the OM is the current main smartcard sponsor.

Building Management: The buildings side of the role involves planning and installation assistance of building projects, as well as organisation and maintenance of systems for compliance with statutory regulations from a Contractual, CQC and Infection Control Perspective.

Data Management: The OM is the practice lead for data analysis and reporting. Part of this role is responsibility for claims management and leading on the technical side of the introduction of new Locally Commissioned Services.

Part of this project delivery is the design and introduction of clinical templates to match the clinical and contractual needs of the LCS, as well as the data gathering required to satisfy the service specification. The OM will where required, design and introduce digitisation initiatives for the purpose of saving clinical time.

The reporting aspect of the role covers invitations for medical appointments, auditing for patient safety and medication alerts as well as forward planning for projects or contractual compliance. Information Governance: The OM is the main administrator for the Practice's Data Security and Protection Toolkit, maintaining both the Asset Register and Data Flow Map on behalf of the practice. The OM also constructs Data Protection Impact Assessments for the practice as and when required.

Finance: The OM maintains the 'Practice Incomes' database, which links LCS claims and GMS activity on a monthly basis to their associated remittances, providing context and assistance to the Practice bookkeeper and accountants.

Administration Management:

Line Manager for the Administration team As Operations Manager oversee the practice's back-office administration functions, including secretarial, book keeping, registration and scanning administration.

This role includes some elements of HR guided by the HR Manager.

The Operations Manager will assist in aspects of facilitating meetings from an IT aspect. In this role The OM also deputises for the Practice's Patient Services and Practice Managers in periods of absence, with whom The OM shares duty management of the Practice sites. These are currently in Crawley with the Partridge Green site coming on board in 2026.
