Operations Manager
Job Overview:
We are delighted to be seeking an Operations Manager to complement our team. For this new and exciting role we are seeking an enthusiastic and motivated Operations Manager to help lead our dedicated team in providing the best quality care for our patients, and support in the management of the business in collaboration with the GP Partners and Business Manager. The Operations Manager will play a crucial role in supporting the Practice in providing high-quality patient care. The ideal candidate will have a background in General Practice operations / senior administration.

Job responsibilities
Line Management
- Day to day management of Admin and Reception Team ensuring staff achieve their primary objectives
- Manage daily workload of Admin and Reception Team
- Conduct administration and reception staff appraisals
Support Recruitment & Selection of staff when required to include :
- Advertising of all practice roles
- Interview co-ordination including interview packs created
- Offer letter / packs are collated and sent DBS checks carried out
- Staff Induction - ensure all induction processes are carried out and paperwork completed
Sickness & Absence Monitoring
- Authorise staff leave / TOIL activity where appropriate
- Collate staff overtime / TOIL / sickness absence activity and issue details to Business Manager as necessary
Employee Relations
- Support and mentor staff both as individuals and as team members, providing guidance and direction to maximise staff potential and creating an environment to ensure optimum performance
- Staff wellbeing be practice champion for wellbeing initiatives
Staff Training
- Ensure all mandatory training is undertaken within specific timescales appropriate to course
- Ensure all training is captured within GP Teamnet and updated where required
- Update practice training matrix where necessary
- Ownership and maintenance of GP Teamnet with staff training information
General HR Activity
- Support Partners and Business Manager with key HR initiatives in terms of roll out and delivery
- Support Business Manager with all key areas for HR related activity
- Produce statistical information where required for recruitment, staff spend, planning, sickness absence
- Create and maintain register for clinicians relating to validation and professional registration ensuring that all appropriate staff are up to date
- Manage onboarding and induction process for GP Registrars
Information Technology & Digital
- Undertake the role of Digital Champion
- Management of key areas of EMIS Web clinical system
- Lead on IT & Digital initiatives in conjunction with the Business Manager - e.g GP Teamnet, ESR
- Support management of Practice Website
Compliance
- In conjunction with Business Manager & GP Partners support the co-ordination of GP Contracts including LQC, PCN DES, QOF, Enhanced Services and other initiatives supporting planning and taking responsibility of key areas as agreed
- Support the review of Practice Policies and Procedures where required
- Support with CQC and other statutory compliance
- Support Business Manager with facilities management
- Support Business Manager with Health & Safety Management, including Health & Safety Audits
- Lead on Information Governance and Data Security
