Job summary

The purpose of a Dispensary Assistant is to ensure the provision of professional and efficient service to the patients of Lakeside Healthcare Stamford attending the Dispensary.

We now have a great opportunity to recruit an enthusiastic and self-motivated person to work within our busy GP Surgery.

Main duties of the job

  • Issue all repeat medication requests for the Dispensary and the local Pharmacies on behalf of the patient.
  • Action the online repeat prescription requests and using the dispensary task boxes appropriately.
  • Ensure that the Dispensary Assistants team has the prescription telephone lines, answering the telephone for prescription queries and issuing prescriptions.
  • Raise appliance prescriptions according to the requests from the community nursing team.
  • Issue prescriptions for care homes, ensuring that they are sent to the relevant GP for signing and the correct Pharmacy for delivery.
  • Organise and sort appliances and paperwork for collection/delivery when they have arrived.
  • Transfer the medication to the patients at the window/counter as per the SOP.
  • Collect and check all due prescription charges.
  • Ensure all monies received or handled on behalf of the practice are appropriately stored, and a record kept of all financial transactions.

Job description

Job responsibilities

Key tasks:

  • To issue all repeat medication requests for the Dispensary and the local Pharmacies on behalf of the patient.

  • Actioning the online repeat prescription requests and using the dispensary task boxes appropriately.

  • Ensuring that the Dispensary Assistants team has the prescription telephone lines covered 10am-3pm.

  • Answering the telephone for prescription queries and issuing prescriptions.
  • Raising appliance prescriptions according to the requests from the community nursing team.

  • Issuing prescriptions as per the MARS sheets for the care homes, ensuring that they are going to the relevant GP for signing and the correct Pharmacy for delivery.

  • Sorting the appliances for collection/delivery when they have arrived and sorting the relevant paperwork.

  • Transferring the medication to the patients, at the window/counter as per the SOP.
  • To collect all due prescription charges and ensure that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient.

  • To ensure that all monies received or handled on behalf of the practice are appropriately stored, and a record kept of all financial transactions.

  • Dealing with prescription queries from patients and Pharmacies at the window/counter.
  • Putting away the dispensed parcels on the shelves and filing the prescription for collection.

  • Putting the dispensed parcels for delivery away in the correct cupboards and ensuringthat they are all labelled correctly, and that the corresponding label is on the deliverysheet. That the prescription are checked and filed.

  • To promptly forward all invoices and dispensary related correspondence to the finance manager or dispensary manager according to practice policy.

  • To ensure that the shelves and all work surfaces are regularly cleaned to maintain a high level of hygiene within the dispensary and that all dispensary equipment is kept clean and is in good working order.
  • Accepting the pharmaceutical deliveries for the dispensary and ensuring that all the relevant paperwork is completed and handed to the driver. To ensure that refrigerated items are stored at the appropriate temperature and to maintain a temperature control record/logbook.

  • To undertake any necessary work as may be required and appropriate to maintain a high standard and efficient dispensing service.

  • To undertake any necessary training as required, including Blue stream Academy.
  • To ensure that all processes are followed as per the Standard Operating Procedures.

  • Check prescriptions for signature/endorsements and sort into paid/unpaid by doctor.
  • Cashing up prescription monies, balancing and recording.
  • Submitting prescription monies to the finance for banking, ensuring sufficient change is available.

Destruction of drugs

  • Daily: dealing with returned medication from patients for the DOOP.
  • Weekly: dealing with uncollected medication from the shelves, returning to stock and cancelling the prescription.
