Job Summary

Due to retirement, we are looking to recruit a proactive, organised, and experienced part-time Reception Supervisor to support the day-to-day running of our busy reception team. The post is for 25-27.5hours per week working Monday-Friday on a rota basis between the hours of 8am-7pm. This is a key role within our GP practice, providing leadership and support to reception staff while ensuring excellent patient service and operational efficiency. The successful candidate will have experience in a healthcare or customer-facing environment, strong communication skills, and the ability to lead and motivate a team.

Main duties of the job

In addition to front-desk and back office responsibilities, the main duties of the job include:

- Supervise daily activities of the reception team to ensure smooth operation. - Manage reception rotas, holiday cover, and monitor timekeeping and attendance. - Support training and development of new and existing reception staff. - Handle patient complaints and queries in a professional and timely manner. - Monitor and improve performance standards, ensuring reception KPIs are met. - Ensure reception protocols are followed and contribute to the development of practice policies. - Liaise with GPs, clinical staff, and management to support effective patient flow. - Oversee appointment booking systems and ensure accurate data entry and record management. - Support the implementation of new systems, including digital access and online services. - Contribute to audits, risk assessments, and quality improvement initiatives.

About us

Ladybarn Group Practice is a friendly and well-established GP training practice located in Withington, Manchester. We serve a large diverse population of approximately 12,800 patients and pride ourselves on delivering high-quality, patient-centred care. Our supportive team includes 4 GP partners, 2 practice managers, 8 GPs, up to 6 GP trainees (at any one time), a nursing team of 5, a pharmacy team of 3, 6 administrative staff, 2 reception supervisors and 8 receptionists. We are rated Good by CQC (a visit is imminent) and committed to continual improvement and staff development.

Job responsibilities

The purpose of the role is to

Supervise and support your team in projecting a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Processing and distributing incoming (and outgoing) mail

Taking messages and passing on information

Filing and retrieving paperwork

Processing repeat prescriptions in accordance with Practice guidelines

Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures

Face to face contact on Reception, as cover, responding to requests from patients, members of the public, other team members and associated healthcare agencies and providers

Providing clerical assistance to Practice and Trust staff as required from time to time, including word/data processing, filing, photocopying and scanning

Processing new patient registrations and patient removals

Ordering, re-ordering and monitoring of stationery and other supplies

Dealing with cash and card payments from patients and handling petty cash.

Contribute to the provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy

Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
