Job summary
We are looking for an EMIS Web trained receptionist responsible for undertaking a wide range of reception/admin duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. We aim to maintain a high standard of patient care and this should depict in each and every action of every team member.
Main duties of the job
The role of the receptionist in a healthcare practice is vital for ensuring smooth operations and excellent patient care. Key responsibilities include:
Appointment Management: Maintain and monitor the appointment system by processing personal, telephone, and electronic requests for bookings, ensuring efficient scheduling and minimising waiting times.
Call Handling: Answer incoming phone calls, transfer calls, and address callers' requests promptly, using effective communication to direct patients to appropriate services.
Patient Signposting: Guide patients to the right healthcare professional based on their needs, ensuring they receive timely and appropriate care.
Data Entry: Accurately enter and update patient information and records in EMIS Web, including new registrations and healthcare data, while adhering to confidentiality protocols.
Documentation Management: Scan, photocopy, and file documents, attaching relevant paperwork to patient records to maintain comprehensive and organised files.
Handling Queries: Manage requests for information, including Subject Access Requests and other documentation, directing them to the administrative team as needed.
Support for Clinical Staff: Assist clinical team members with general tasks and help set up clinics, enabling them to focus on patient care.
