Job summary

This is a complex, multi-tasking administrative role. A great deal of concentration, initiative and accuracy required. We are looking for a dedicated, hard working person who is a team player and likes a challenge.

We are looking for someone to join our admin team. You must have good keyboard skills, good attention to detail, an excellent telephone manner, strong communication skills, the ability to learn quickly and be able to deal with challenging/demanding/fast paced situations. Teamwork is key in this role. Full training and support provided in-house.

You will be responsible for adding and directing information/data within our clinical system, assisting patients with specialist enquires, liaising with outside organisations and performing basic IT troubleshooting. You will be required to adhere to GDPR (data protection) and confidentiality. Teamwork is essential, as is the ability to work autonomously. This role provides integral support to the Practice.

The UEA Medical Centre is an independent NHS GP practice, situated on the campus of the University of East Anglia about 4 miles to the West of the centre of Norwich. As well as being a PMS practice within NHS Norfolk, offering all normal NHS requirements, we provide many additional services to the university. We are a member of the Norwich Primary Care Network and we have attached staff from the PCN also providing support/services to our patients. We look after circa 20,000 patients.

Job description

Job responsibilities

  • Registering new patients and temporary residents including entering data onto a computerised system
  • Retrieving medical records for ex-patients and preparing relevant information to be sent on
  • Informing patients of their test results
  • Deal with phone calls and queries form patients, staff, third parties
  • Summarising medical records onto computer
  • Adding patient information, results and hospital information onto the clinical computer system as and when required
  • Assisting with the transfer of incoming/outgoing medical records
  • Updating patient addresses and contact information onto computer system
  • Reviewing patient lists to identify patients no longer resident in the area
  • Operating the GP Links system and liaising with the Health Authority to ensure flow of data and accuracy in maintaining the patient list
  • To provide basic computer support for other staff and reporting faults to third parties
  • Restocking computer supplies as required
  • Any other duties appropriate to the post, including helping in reception (filing, scanning etc) during quiet times
