Job summary

We are looking for a Receptionist to join our small friendly team to make 4 Receptionists. We are a medium sized GP Surgery and this role would ideally suit someone with NHS / Patient or Customer Care background. This particular role is based in Ickenham but we would require you to be able to cover both sites as and when the need would arise.

We are looking for someone who is looking to be a long term Receptionist and has a flexible and adaptable working manner. The key to this role would be great customer service skills and reliability. As this is a face to face, frontline position the candidate would need to be confident in speaking to patients and clinicians alike. This role is a busy and varied role requiring time management and being able to work well under pressure. Basic IT skills would also be essential. This would be a permanent contract with a 3 month and 6 month probation period. There would be a structured 2 week shadowing and training schedule initially.

Main duties of the job

The main duties of the role include, answering the phones, making appointments, supporting the GP's, filing, scanning and a variety of other administrative tasks.

About us

We are a small friendly team with a list size of approximately 5000 patients. The team comprises of 5 sessional Doctors, 4 Receptionists, 1 Medical Secretary and 3 members of the Management Team. We are a friendly supportive small team.

Job Description - Receptionist

Accountable to Assistant Practice Manager / Practice Manager

The role of the receptionist is to be a member of the team contributing to the smooth running of the practice by ensuring that all enquiries from patients, in person or by telephone, are handled efficiently and courteously. Record keeping and distribution of documents should be undertaken efficiently and promptly. The role involves liaison with the doctors and other members of staff in a clear and logical manner.

Principal Responsibilities

1. To welcome patients and others to surgery

2. To prepare for each surgery, ensuring consulting rooms have been put in order

3. To give such assistance to the Doctor and Nurse as may be requested to ensure the smooth running of surgeries.

4. To book appointments for patients calling at the surgery and by phone and making contact with patients when there is a need for appointments to be rebooked

5. To deal with telephone calls which do not involve booking appointments you are expected to handle such calls dealing with administration matters and giving sensible advice to patients.

6. To prepare repeat prescriptions and to take details of prescriptions required without appointment, checking allergy details.

7. To register new patients, handing out practice details and booklet to new regular patients and make arrangements regarding an initial health check for new patients.

8. To open incoming post, date stamping on receipt and scanning at after post has been seen by doctor. Prepare outgoing post as necessary.

9. To arrange transport when patients are hospitalised

10. To file away any notes that have been needed for consultations and to file correspondence and results into patient notes.

11. To open and close the surgery premises when required to do so ensuring adequate security is maintained

12. To operate the computer as and when necessary, referring to Emisweb / IT Helpdesk for advice when breakdowns occur.

13. To receive patient specimens and place for collection by health service courier desk

14. To carry out additional sessions to cover for holiday and sickness absence of other staff

15. To keep confidential the affairs of the practice and its patients

16. To observe Practice Guidelines on Health and Safety

17. File the computer record of scanned post to patient computer files
