Job summary

We are looking for an enthusiastic receptionist/admin assistants to complete our primary care administrative team.

You should be proactive, caring and committed to the role and able to work well independently as well as within the team, reporting directly to the Reception Supervisor and Practice Management Team.

Main duties of the job

The role will involve being the initial face of the practice, it is important to have great communication skills, showing empathy when needed. Please see job description for more details.

You will work within the administrative team and team working is an essential attribute to being successful in this role. You will need to be able to use your initiative where necessary, whilst at the same time understanding and remaining within your limitations.

Training, both internally and externally will be provided as required. Support is always offered from within the team.

Bodey Medical Centre is a fast paced, friendly General Practice based in Fallowfield, South Manchester. We are located in a purpose built premises with excellent transport links.

We are a training Practice, proactive, high achieving and actively promote a high level of patient care through our dynamic multidisciplinary team. We are active members of our local Primary Care Network.

We provide a large range of services and have a varied patient base covering areas of affluence as well as some deprivation. We also provide care to a large student population.

Job description

Job responsibilities

To undertake all aspects of reception duties and ensure that the reception area of the Practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the Practice team.

Answer all telephone calls promptly

Assess and advise patients how to arrange appointments via AccuRX Triage and book advanced appointments where required

Record and handle home visit requests

Answer and handle all mobile telephone calls

Deal with general enquiries and complaints

Contact other providers

Register new patients and add to the computer system

Arrive patients for their appointments

Greet and direct patients and visitors

Hand out prescriptions to patients or their representatives

Give out test results to patients in accordance with Practice protocols

Ensure outstanding queries are explained and handed over to the next shift, as necessary

Respond to needs of doctors and nurses during surgery

Advise and collect payments from patients for non NHS services

Pull, file and print patient records when required

Handle requests for repeat prescriptions

Raise prescriptions as per Practice protocols

Deal with email correspondence from a variety of sources including the surgery website

Deal with queries relating to prescriptions

Input and extract patient and other information from the Practice computer system

Open, scan, attach and distribute post

Retrieve and act upon emailed information

Arrive and deduct patient records on Practice computer system

Cover duties for other staff absence

Keyholders to open premises and deactivate alarm at start of day when first to arrive

Ensure building is secured and lights switched off during lock up procedure

Ensure waiting room/noticeboards are kept tidy

Ensure kitchen is kept clean and tidy

Observe health and safety guidelines at all times

Observe GDPR and confidentiality guidelines at all times

Complete other core tasks to support smooth running of reception

Offer help to all colleagues

Any other reasonable duties as necessary
