Job summary

We have an exciting opportunity for a NHS Practice Secretary to join our cohesive primary care team serving 20,000+ patients in St Johns Wood, Primrose Hill and Maida Vale.

Main duties of the job

To support the PM in the effective administration and management of the practice. The Practice Secretary will work under the direction of the PM, striving to enhance a number of key systems in both clinical and administrative areas.

The Practice Secretary will also champion quality and improvement programmes, confidentiality, collaborative working, service delivery, learning and development, promoting a positive working environment.

We are a large team of 30+ staff.

We offer comprehensive NHS primary care services and work in a purpose built state of the art premises in a lovely part of London, within the Hospital of St John and St Elizabeth.

Job description

Job responsibilities

The following are the core responsibilities of the Practice Secretary. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

Supporting the PM as required with projects, systems and procedures

Undertaking tasks as directed by the PM in areas of change management and continuous improvement

Providing key performance information as requested

Supporting the PM in monitoring compliance with health and safety legislation, providing leadership and direction for staff

Contributing to the development, implementation and embedding of an effective practice training programme for all staff

Provide administrative support for compliance registers, supporting the PM, ensuring DBS checks are conducted

Coordinating the practice diary, ensuring meetings are scheduled appropriately

Coordinating internal and external meeting arrangements, preparing agendas and producing minutes for meetings minutes are to be completed in a timely fashion

Supporting the PM in the marketing of the practice

Support the PM with succession planning

Take and distribute minutes for all meetings including clinical and personnel

Maintain the practice website, NHS Choices and any social media

Maintain, review and update policies/protocols as directed by the PM

In addition to the primary responsibilities, the PS may be requested to:

Act as the primary point of contact for NHS(E), Integrated Care Board (ICB) community services, suppliers and other external stakeholders in the absence of the PM

Assist with the recruitment of staff as requested by the PM

Support the PM in the reviewing and updating of practice policies and procedures

Support the PM with change initiatives

Manage asset registers as directed by the PM

Coordinate all staff absences, maintaining an effective absence register

Represent the practice locally as required

Maintain a working knowledge of ICB initiatives
