Job summary

We are seeking an enthusiastic, organised and compassionate individual to join our Administration & Reception team. This role is key in providing a high-quality first point of contact for patients both by telephone and at reception.

Full training will be provided. Previous experience in a GP practice or healthcare administration setting is beneficial but not essential.

Main duties of the job

  • Welcoming and assisting patients at reception and by telephone

  • Patient registration and updating records accurately

  • Booking appointments and supporting clinicians with administrative tasks

  • Processing clinical correspondence and information (paper and electronic)

  • Care-navigating patients to appropriate services

  • Supporting the triage clinician where required

  • Managing and transferring messages and information to clinical staff

  • Liaising with external services including hospitals, community teams & emergency services

Job description

Job responsibilities

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • Process face-to-face, telephone and online patient requests for appointments and queries
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Process and effectively signpost patients to the appropriate healthcare professional, depending on the presenting condition.
  • Process incoming and outgoing mail
  • Initiating contact with and responding to, requests from patients, team members and external agencies
  • Enter read/SNOMED CT code data to patient records on clinical system
  • Process repeat prescription requests.
  • Respond to requests from patients, team members and external agencies.
  • Photocopy documentation as required
  • File and store records as required
  • Data entry of new and temporary registrations and relevant patient information as required
  • Input data into the patients healthcare records as necessary
  • Scanning of patient related documentation and attaching scanned documents to patients healthcare records
  • Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team
  • Manage all queries (including administrative queries) as necessary in an efficient manner
  • Carry out system searches as requested
  • Maintain a clean, tidy, effective working area at all times
  • Monitor and maintain the reception area and notice boards
  • support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
  • Support all clinical staff with general tasks as requested
  • Prepare patient notes and Summarise when requested
