Job responsibilities
Main purpose of
the post:
To provide a point of contact for
patients and act as a focal point of communication between patients, doctors
and other medical staff; receive, assist and direct patients in accessing the
appropriate service or healthcare professional in a courteous, efficient and
effective manner.
Provide general assistance to the
Practice team and project a positive and friendly image to patients and other
visitors, either in person or via the telephone
Duties and
Responsibilities:
Duties may be varied from time to time under
the direction of the Assistant / Practice Manager, dependent on current and
evolving Practice workload and staffing levels:
The post holder
will have a thorough knowledge of all Practice procedures.
Work in accordance of written protocols
The duties and responsibilities to be
undertaken by members of the Practice administration team may include any or
all of the items in the following:
Be proficient in all reception duties.
Ensure efficiency of appointment system
and monitor flow of patients into consulting and treatment rooms assisted by
the Jayex System.
Ensure those patients without
appointments but who need urgent consultation are seen in a logical and
non-disruptive manner.
Respond
to all queries and requests for assistance from patients and other visitors.
Receiving and recording accurately all other messages from other members
of the Primary Health Care Team.
Ensure
all requests for repeat prescriptions are actioned within one working day.
Keeping
the reception area, notice-boards and leaflet dispensers tidy and free from
obstructions and clutter.
Processing
personal and telephone requests for appointments, visits and telephone
consultations and ensuring callers are directed to the appropriate healthcare
professional
Receive and record accurately requests for home visits, urgent medical
attention on to the Triage template include all relevant information and where
necessary refer to the doctor urgently.
Initiate
outgoing telephone calls in order to facilitate timely and appropriate
communications with others, taking messages and dealing with appropriate
queries.
Book appointments and recalls ensuring
sufficient information is recorded enter any detail you feel may be relevant
to the appointment in the free text.
Have a working
knowledge of all aspects of the computer system
Registrations
of new patients computer data entry and medical records.
Process patients change of
address computer data and medical records have knowledge of Practice area.
Update patients computer records from hospital letters using correct
templates to ensure quality data collection, prior to scanning
Ensure
correspondence, reports, results etc are scanned accurately into correct
patients records.
Arrange interpreters in line with
practice protocol
Expedite appointments/tests as
required
Providing clerical assistance as required from time to time, including word/data processing,
filing, photocopying and scanning
Record
and bring to the attention of the Practice Manager all complaints/potential
complaints/comments or suggestions.
Report
any untoward adverse incident.
Ensure the reception area is clean and tidy and ready for use

required by the Partners/ Practice Manager if, they are deemed necessary for
the improvement of the everyday running of the practice by the administration
team.
