Job summary

To provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are efficiently and courteously handled to the mutualsatisfaction of the partners and patients.

Main duties of the job

To provide reception and administrative duties to patients and staff.Navigate Patients to the most appropriate clinician or service, Book in, amend and cancel patient appointment in line with practice appointments proceduresensuing optimum efficiency of the appointment system. Respond and/or redirect all patient and visitor requests accordingly.Assist any patient who wishes to register at the Practice.Ensure reception and waiting areas are kept neat and tidy.Ensure those patients without appointments but who need 'urgent consultations are booked into appropriate slots and referred to a GP where necessary.

About us

Prospect Medical Group is a long established, friendly and forward-thinking GP practice in the west end of Newcastle Upon Tyne based in modern single site premises. We have 6 GP partners who employ 2 salaried GPs, 2 Nurse Practitioners, 4 Practice Nurses, 3 Healthcare Assistants as well as a team of dedicated and supportive administrative staff. We currently have a patient list size of around 15,000. We are highly involved in our PCN (Inner West Newcastle) and through this we benefit from pharmacists, physiotherapists, psychology, paramedics, a nurse associate, mental health workers and social prescribers who work also work for the practice.

Our collective purpose is to provide the best care to our patients.

We use SystmOne clinical system.

Job description

Job responsibilities

1. Greet patients and visitors to the practice.

2. Navigate Patients to the most appropriate clinician or service.

3. Book in, amend and cancel patient appointments in line with practice appointments proceduresensuing optimum efficiency of the appointment system.

4. Ensure those patients without appointments but who need 'urgent consultations are booked into appropriate slots and referred to a GP where necessary.

5. Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols. Print off home visit summary sheets.

6. Respond and/or redirect all patient and visitor requests accordingly.

7. Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.

8. Assist any patient who wishes to register at the Practice.

9. Advise patients of relevant charges for private services, accept payment and issue receipts for same.

10. Support patients to order repeat prescriptions according to practice procedures

11. Ensure correspondence coming into the practice is passed on to relevant team.

12. Ensure reception and waiting areas are kept neat and tidy

13. Re-stocking of information leaflets as appropriate

14. Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.

15. Action start and end of day procedures.

16. Check emails and electronic document systems on a daily basis to ensure all tasks are actioned.

17. Regularly check tasks and emails on SystmOne to ensure all messages have been actioned.
