We have an exciting opportunity for an experienced Office Manager Position within our Administration Team.
The successful post holders will provide leadership management, supervision, and development of an effective flexible administrative team.
The post holder will contribute to the development and management of the administrative and clerical support services.
The post holder will establish, maintain and develop professional working relationships with all partners to ensure fit for purpose service is delivered. The post holder will work under their own initiative and will have significant discretion to manage their own workload. The post holder will manage and delegate tasks are appropriate to their team. To provide an efficient and effective clerical support to the multidisciplinary clinical teams. The post holder will demonstrate an attitude which respects and values service users' and their carers.
The Post Holder will have supervisory responsibility for the
running of reception and accountability for all reception processes, training
and systems.
To assist in managing reception staff
and duties to facilitate the smooth running of the Practice.
To assist the practice manager with
day to day duties as required.
Main duties of the job
-experience and knowledge of EMIS system
-Assist
the practice manager to manage reception staff duties to ensure smooth running
of practice and provision of service
-Manage
and share reception cover ensuring continuous quality service provision during
periods of annual, study or sick leave.
-Support
the practice manager in the development of practice protocols and procedures
-Registering
of new patients and temporary residents
-Rotas, availability, allocations, changes
-Ability to carry out audits on staff and other statistics required
-Manage payments from patients and NHS fees
-Deal with complaints in accordance with Practice Complaints Procedure and evaluate suggestions
-Organise flu and QOF clinics-co-ordinate staffing
-Provide induction training and ongoing appraisals and reviews
-Liaise with other members of the primary health care team, outside agencies and Practice volunteers as required
-Attend staff meetings
-Handle
difficult patients professionally and manage the practice complaints procedure
within the practice guidelines, keeping appropriate records and passing
onto the Practice Manager.
-Comply
with Caldicott guidelines for confidentiality; to understand the importance of
and implications to the patients and Practice if breached.
- Ensure mandatory training completion for non-clinical staff in line with practice needs.
About us
Here at Showell Park Health Centre we have a great team of clinical and non clinical staff. 5 x salaried GPs, 1 Practice Nurse, 1 GPA, 1 HCA, Pharmacist and 8 reception/admin staff. We work very closely with our PCN team.
On- site parking
we operate between 8:00am - 6.30 pm Mondays-Thursday, 8.00am - 8.00pm on Friday and 1-5 on Saturday.
We have a list size of over 7,000 patients

- Assist the practice manager to manage reception staff duties to ensure smooth running of practice and provision of service
- Manage and share reception cover ensuring continuous quality service provision during periods of annual, study or sick leave.
- Support the practice manager in the development of practice protocols and procedures
- Registering of new patients and temporary residents
- Manage production of posters and Information sheets for patients and users of the building, ensuring that all posters and information leaflets in patient areas are up to date and in adequate supply.
- Ensure the practice booklet is kept up to date and reviewed regularly for accuracy
- Maintain an adequate supply of new patient packs providing information for our patients
- Ensure health promotion noticeboards are updated in accordance with practice Health Promotion Programme
- Handle difficult patients professionally and manage the practice complaints procedure within Malling Healths guidelines, keeping appropriate records and passing onto the Practice Manager.
- Comply with Caldicott guidelines for confidentiality; to understand the importance of and implications to the patients and Practice if breached.
- Project a positive and professional image of the Practice and report on any problems as necessary to the Practice Manager.
- Supervise receipt and signing for incoming deliveries for equipment, stationary and vaccines ensuring that the vaccine storage cold chain is not broken.
- Manage safe system for processing of specimens from patients in accordance with infectious control protocol and procedure.
- Comply with all protocols and procedures as directed from Malling Health and contribute to their further development locally within the Practice

- Ensure all new reception staff receive an appropriate level of induction
- Identify training needs and assist in the development of practice training programme for reception staff.
- Information Technology:-
- Generate repeat prescriptions, checking data and referring onto GP as necessary.
- To ensure compliance with Data Protection Act requirements for confidentiality of patient information.

- To participate in performance review appraisal and mentoring processes as required
- To ensure compliance with all Care Quality Commission protocols and procedures
- To identify training needs and attend Practice or external training sessions and team building exercises as required
