Job summary
Bexley Group Practice is looking to employ a part time GP Receptionist
to join our friendly team at our branch site in Belvedere.
The role is for 22 hours per week (Monday 1pm - 7.30pm, Tuesday 8am - 1.30pm, Wednesday 8am - 1.30pm and Friday 1.30pm - 6.30pm)
Main duties of the job
The candidate should ideally have previous experience working as a GP
receptionist, be computer literate, and have excellent customer service and
communication skills.
The candidate should be punctual and able to work as a team member. You
will be required to deal with patients and visitors at the receptionist desk
and via phone and therefore a pleasant and professional manner is required.

Bexley Group Practice is a busy GP Practice, located in the heart of
Welling with a branch site in lower Belvedere.
We have a Reception and Administrative team, GP's, Practice Nurses,
Clinical Pharmacists, Paramedics, Physician Associate, Phlebotomist, First Contact Physiotherapist, Advanced Clinical Practitioner and a Mental
Health Practitioner.

Reception Duties

Greet patients professionally and manage appointment flow efficiently via phone and face-to-face.

Inform patients if clinicians are delayed or called away.

Monitor and manage urgent appointment requests with appropriate guidance.

Advise on charges for non-NHS services, take payments, and issue receipts.

Explain practice procedures to new/temporary patients and follow correct registration procedures.

Respond to patient and visitor queries promptly and appropriately.

Enter and update patient data on EMIS or other clinical systems.
-
Manage emergency situations efficiently and escalate where appropriate.
-
Maintain supplies (bags, bottles, stationery) and ensure clinical rooms are stocked.

Keep reception areas clean and organised.

Handle clinical specimens in line with protocol.

Respect and maintain patient confidentiality at all times.

Do not share any confidential information unless authorised and in line with practice policies.

Treat all dataclinical, staff, or business-relatedas confidential, with disclosure only as per protocol.
Appointment System Management

Understand appointment system structure, clinic times, and booking rules.

Accurately book and manage appointments, flag overloads to the Practice Manager.

Ensure availability for urgent same-day bookings where necessary.
Medical Records & Administration

File and manage medical records in a secure and accessible manner.

Scan clinical documents accurately, attaching to the correct patient record.

Store scanned letters securely pending confidential destruction.
-
Handle subject access requests per policy and forward appropriately.
-
Process GP links, including registrations, amendments, and rejections under guidance.
Telephone System Operation
-
Handle incoming and outgoing calls courteously, record messages, and forward actions to clinicians.

Follow switchboard procedures when transferring to out-of-hours service.
Information SecurityPatient Liaison
-
Provide courteous non-clinical care and support; help patients access test results, speak to clinical staff, or find appropriate leaflets and support groups.

Respect patient privacy and offer assistance sensitively.
Information Technology & Audit Duties
-
Maintain up-to-date skills in EMIS/clinical systems; report any issues promptly.

Comply with all IT, security, records management, and confidentiality protocols.

Review and act on communications and decisions from meetings.

Attend staff meetings regularly (overtime may apply if off-duty).

Complete all mandatory training sessions (e.g., IG, safeguarding, fire safety).
