Southall Medical Centre has an exciting new vacancy for a part-time (20-25 hours per week) receptionist / administrator to join our dynamic admin team!
No prior GP practice experience is required, however the ideal candidate must be familiar with the role of primary care / GPs in the NHS.
Good IT, computer and communication skills are essential for this position.
Key responsibilities and duties include:
- Triaging appointment requests and booking appointments appropriately for patients
- Handling incoming telephone calls to the surgery
- Processing repeat prescriptions according to practice policy
- Scanning and processing medical documents through SystmOne (clinical system)
- Completing tasks set by the practice manager and the doctors / clinicians
- Opening and closing front doors in line with opening times
- Greeting patients kindly and courteously
- Working as part of a team collaboratively with other team members
- Preparing the surgery, waiting area, consulting rooms in preparation for clinics
Main duties of the job
Good IT, computer and communication skills are essential for this position.
You must be a friendly, courteous people-person as this role primarily involves handling patient queries and have a strong work-ethic and resolve to help provide excellent patient care, in line with our practice vision.
Ability to speak Panjabi, Hindi, Gujarati or Urdu would also be extremely beneficial for this position.

Duties and responsibilities of receptionists include, but are not limited to: appointments, handling telephone calls, document workflows, processing repeat prescription requests, completing tasks set by practice manager or doctors, opening/closing front doors, maintaining cleanliness of waiting area and consulting rooms, keeping noticeboards and patient areas up-to-date, working collaboratively as part of our practice team.
The ideal candidate will have some experience of the NHS, however no previous GP surgery employment is required. Strong work-ethic, commitment to the role, flexibility and efficiency are key traits in a successful applicant.
Although you will be well-supported by our existing administrative and management team, you must be able to work independently, autonomously, with a problem-solving and can-do attitude.
As the first port of call for our patients, a friendly and warm welcome and excellent communication skills are crucial to this role.
The surgery is fully computerised, so good IT and computer skills are a necessity. Successful applicants will be proficient in Microsoft Office (Word, Excel, PowerPoint) as well as SystmOne (clinical system training provided).
