Job summary
We are seeking a motivated and organised Practice Administrator to join our friendly and supportive primary care team. The postholder will play a vital role in ensuring the smooth running of day-to-day administrative and clinical support processes, contributing to high-quality patient care and effective practice operations.
The role requires excellent organisational skills, attention to detail and the ability to work collaboratively with clinicians, managers and administrative colleagues in a busy healthcare environment.
Main duties of the job
- Act as a point of contact for patients, clinicians and external organisations regarding referrals, appointments and administrative queries, ensuring a professional and patient-focused service.
- Manage queries relating to care, treatment and referrals, escalating issues as appropriate, including urgent or expedited referrals.
- Investigate complex patient enquiries and liaise with the clinical team to support timely and appropriate patient care.
- Accurately summarise and maintain patients medical records.
- Monitor daily appointment schedules to ensure appropriate booking, effective capacity management and optimal utilisation.
- Manage patient-related tasks within the clinical system, ensuring tasks are completed within agreed timescales and prompting action where required.
- Check and allocate laboratory results, respond to unmatched items and ensure results are reviewed promptly by clinicians.
- Review and manage the generic practice mailbox, dealing with relevant items and allocating others appropriately.
- Coordinate recalls and reviews, supporting data entry, reporting requirements, QOF, Enhanced Services and screening programmes.
- Maintain accurate databases, support data quality initiatives and assist with audits, information requests and compliance requirements.
- Support the management team with day-to-day operational processes and work collaboratively as a key member of the administrative team.
- Participate in team meetings, training and continuous professional development.
