Job summary

Due to expansion we have a full time position available at Ibstock & Barlestone Surgeries.

We have an exciting opportunity for a new member to join our patient services team. This opportunity will include a wide range of administrative and front desk duties. Ibstock and Barlestone surgeries are a training practice that welcomes new aspiring candidates that have a can do attitude. With a practice list size of over 11,500 patients, we operate a busy face faced service that has patient's need and care in the best interest. This is a challenging role, requiring initiative, intelligence and excellent communication skills.

Main duties of the job

What we look for in your application:

Experience in a fast- paced customer service role.

IT Skills (knowledge of SystmOne would be advantageous, however training is provided)

Positive and proactive approach to work, with the ability to work under pressure.

Ability to abide by strict confidentiality guidelines and legislation and the responsibility this brings.

Someone who wishes to demonstration initiative and to develop their own skills further with a view to progression.

This is a challenging and rewarding role requiring initiative, intelligence, excellent communication skills, tact and discretion and provides a range of administration duties such as:

Ensure an effective, professional and efficient service is provided to patients and any other visitors to the practice.

Booking, cancelling and amending appointments. Including taking basic clinical details and signposting patients.

Dealing with general enquiries via multiple platforms including but not limited to face to face, email, SMS text message, the clinical system, letter and telephone.

Adding patient correspondence and coding data onto the clinical system.

About us

We are a busy teaching and training practice with over 11,500 patients. Our innovative multidisciplinary team includes 4 GP Partners, 3 salaried GPs, 3 Emergency Care Practitioners, 3 Nurse Practitioners, 4 Health Care Assistants, 2 Pharmacists, Registrars and a Dispensary team who are all supported by our Patient Services Team. We aim to provide a high standard of care and be committed to our patients needs, as well as being courteous, approachable, friendly and accommodating. Our staff are highly motivated and skilled that offer a warm environment.

Job responsibilities

Opening and Closing premises in line with procedures.

Ensure an effective and efficient service is provided to patients and any othervisitors to the practice.

Ensuring that all public areas, reception area, waiting room areas andconsulting rooms are stocked and are kept tidy and safe at all times.

Booking, cancelling and amending appointments. Including taking basic clinicaldetails and signposting patients requesting same day appointments.

Dealing with general enquiries via multiple platforms including but not limited toface to face, email, SMS text message, the clinical system, letter andtelephone.

To be aware of confidentiality at all times; ensuring only the relevant andcorrect information is given to patients and outside agencies such assecondary care, police and carers etc.

Processing prescriptions requests ensuring they are made available to patientswithin the 3 working day time frame.

Monitoring and processing of SystmOne tasks daily, ensuring they arecompleted effectively and in a timely manner.

Correspondence management. Including processing paper and electronicdocuments, coding them and distributing to relevant clinicians as appropriate.

Distribution of pathology results to responsible clinicians.

Monitoring and processing own personal work emails.

Monitoring and processing of practice emails (NHS.net).

Referring patients to community services, for example the district nurses.

Searches and reporting. Including dealing with Eclipse alerts and patient safetynet searches.

SystmOnline/Online services management. Including registering patients forthese services, removing access, granting access and answering patientqueries.

Identifying and contacting patients who have failed to attend for multipleappointments.

Ensuring the death procedure is followed in a timely manner, minimalising anyunnecessary stress.

Using SystmOne templates to enter data onto patient records.

Maintain, update and monitor the Practice computerised registration database.

Including registering new patients, deducting patients records, dealing withchange of addresses, GP links and PDS alerts.

Dealing with queries relating to computer software/hardware. Including liaising with LHIS and various other IT support agencies.

Summarising electronic and paper records and dealing with GP2GP data.

Handling of paper records. Including receiving, filing, photocopying andreturning of paper records.

Follow procedures for patients who are on the end of life/palliativecare/cancer/care home/housebound registers.

Assist with QoF, ensuring practice targets are met.

Handling post. Including opening, distributing and taking outgoing post.

Reviewing and recalling patients who are due or overdue for reviews. Includinglong term conditions, drug monitoring.

Attend meetings and undertake further training as agreed. Such meetings andtraining may be outside the normal working hours of the post holder.

Providing holiday and sickness cover for colleagues as requested.

Any other duties appropriate to the post as delegated by the managementteam/partners.

Ability to work at either of the practices two sites and move between them atshort notice.
