Job summary
To provide high-level administrative and operational support to the management team, assisting with HR, staffing, operational management, audits, compliance, patient liaison, and data management. The postholder will act as a key link between managerial support, reception, and management, ensuring the smooth day-to-day running of the Practice. NHS experience is preferable (managerial role).
Salary & Working hours
Salary : negotiable depending on experience (expected range between £16/hr and £18/hr)
Working Hours 30-37 hours per week over 5 days per week
Main duties of the job
Assisting Managerial support team on a daily basis as needed. Assisting Deputy Practice Manager in the following duties:
Operational, Financial & Administrative Management
- Staff rotas, GP holidays and coordination of locum cover
- management of appointment book and capacity planning .
- searches, QOF, CQRS submissions, quarterly and ad-hoc claims
- processing wages and supporting accounts, invoicing claims and reconciliations
- New user set-up and system access management
- PCN EMIS management ensuring sessions are allocated to the correct Nurse/GP.
Financial oversight & invoicing- room hosting planning , invoicing and reconciliation
- Student invoices and reconciliation
- oversight and processing of claims and financial queries
IT Systems & facilities- First - line support for IT queries and assistance in reviewing and implementing new IT products.
- Responsibility for building and facilities related matters.
People, PCN & Stakeholder Liaison- Liaising with and maintaining effective working relationships with ARRS staff, PCN and the wider multidisciplinary team.
- Acting as a key point of contact for internal and external stakeholders
Governance, Communication & Meetings
- Managing complaints in line with Practice policy
- Oversight of Clarity TeamNet and practice email communications
- Preparing meeting agendas , taking minutes and arranging meetings
General Practice Support
- Managing and responding to the wide range of unquantifiable tasks that arise daily to ensure the smooth running of the practice.
