To be responsible for undertaking a wide range of front of house duties to assist in the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, processing of information and assisting patients as required. To provide services which result in the safe and efficient generation of repeat prescriptions and dispensary functions, ensuring patient confidentiality in all matters.
Main duties of the job
The following are the core responsibilities of the Patient and Dispensary Services Advisor. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
- Acting as a helpful and friendly first point of contact for patients (via telephone, face to face and email)
- Provide reception services to include requests for appointments, processing calls, and data entry.
- Collecting prescription charges in accordance with dispensary protocol
- Process payments for non-NHS service charges.
- Processing prescription requests via email, phone, fax, face-to-face and online
- Maintaining stock levels within the dispensary, liaising with the dispensary manager to facilitate reordering
- Supporting the Dispensary team to carry out regular stock checks, ensuring stock rotation and checking expiry dates.
- Receiving and storing supplies in accordance with current policy, ensuring the cold chain is maintained where applicable
- Supporting the team in the safe disposal of returned and / or out of date medicines
- Maintaining accurate records at all times, read coding entries appropriately
- Manage all queries as necessary in an efficient manner
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Complete opening and closing procedures in accordance with the duty rota
