Job summary

Responsible for the day-to-day management and supervision of reception and administrative staff and their associated functions and tasks, including:

  • Ensuring all admin work across the Reception & Admin department is distributed to staff and completed in a timely manner.
  • Ensuring a high-quality patient facing service so patients feel welcomed and cared for while accessing our services
  • Keeping the building, its environment and equipment in order to facilitate a good working environment.
  • Training and developing the Reception & Administrative Team

Main duties of the job

  • Ensuring all admin staff are trained appropriately including induction and initial training of all new staff
  • Ensure adequate staffing levels are maintained across the admin department at all times
  • Manage the maintenance of the practice appointment system maximising the available appointments and ensuring appointments are appropriately booked by all admin staff
  • Manage workload across admin department and team ensuring workload is completed or issues are highlighted to the management team
  • Oversee and manage ourPatient Facing Services including customer service levels, initial complaint complaints management and practice activity monitoring
  • Assist with other practice systems including taking minutes for meetings / respond to initial IT issues / updating and creating protocols for admin department / change management and quality improvement
