Job summary

Park Lane Surgery are seeking a Data Quality Administrator to work at our friendly, busy practice.

We are looking for a highly motivated individual with excellent IT, administration, organisation and communication skills and who is committed to promoting and providing excellent patient centred services. You will be someone who enjoys working within a team and you will be able to multi-task and work well under pressure.

Our ideal candidate will have experience of working in administration. Previous experience of working in a GP Surgery with knowledge of the SystmOne clinical system, medical terminology, read coding and the Quality and Outcomes Framework (QoF) is preferred. Accuracy and attention to detail are essential.

Main duties of the job

Coding data on SystmOne clinical system

Coding all secondary care (hospital) letters

Monitoring patient call and recall systems

Maintain effective security of data all times

Support the team in the effective use of searches, audits and recalls

Support the team in the use of the clinical system

Configure searches and interpret data for audit purposes

Summarise patients notes when requested

Collate search data for reporting purposes

Ensure new patient records are received electronically and imported onto the clinical system

Park Lane Surgery is a small, but busy GP practice; based in the rural area of Allestree, Derby, with over 8400 patients and 4 GP partners.

JOB DESCRIPTION DATA ADMINISTRATOR

JOB TITLE: Data Administrator

ACCOUNTABLE TO: Assistant Practice Manager

HOURS: 37 hours per week

Job Summary: To be responsible for undertaking a wide range of data inputting duties in support of the multidisciplinary team. Duties can include but are not limited to, read coding information from patients clinical records, correspondence from other care service providers and other sources on the practice clinical system, adhering to current policy and procedure.

Primary Duties/Responsibilities:

Coding data on SystmOne clinical system

Extracting the required data from clinical correspondence and inputting the data into the patients electronic healthcare record

Coding all secondary care (hospital) letters

Monitoring patient call and recall systems

Maintain effective security of data all times

Support the team in the effective use of searches, audits and recalls

Support the team in the use of the clinical system

Provide guidance in trouble shooting when requested

Configure searches and interpret data for audit purposes

Summarise patients notes when requested

Initiate data quality improvement projects

Collate the required data for reporting purposes

Ensure new patient records are received electronically and imported onto the clinical system

Process patient online applications as required

Code results and upload data as required

Secondary Duties:

Partake in audit as directed by the audit lead

Assist in the administration and coding of safeguarding documentation ensuring timescales are met

Assist with queries regarding safeguarding matters and refer appropriately

Relief Secretarial support including typing referrals and use of e-Referral system.

Support and cover for reception team as required

Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.

Actively reporting of health and safety hazards and infection hazards immediately when recognised.

Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role.

Undertaking periodic infection control training (minimum annually)

Reporting potential risks identified.
