Job summary

Mocketts Wood Surgery currently have a vacancy for an enthusiastic/ motivated Secretary (Medical) in order to enhance our team at Mocketts Wood Surgery.

Main duties of the job

  • To perform all clerical and administrative duties/ supporting the team, which will include the typing of letters, reports, patient referrals, minutes, memorandums, coding medical records, emails, management of all incoming correspondence whether electronically or by post.
  • Management of choose & book appointments/ bookings and admission as required, including e-Referrals.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of Non NHS medical/insurance records when necessary.
  • File patient records and correspondence in patient medical records maintaining accuracy at all times.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with patients and external agencies as required.
  • To be flexible when necessary to provide cover for other members of the secretarial team during periods of sickness and annual leave.

We are looking for an enthusiastic, motivated Medical Secretary to join our team. We have 2 GP Partners, 3 Locum GP's, 1 Paramedic practitioner, 2 Practice Nurses,1 Nurse Associate, 2 Healthcare assistants, 2 Frailty and Social Care Co-ordinator, and administrative staff including 2 medical secretaries and reception staff.

    Qualifications

    Essential

    • GCSE A - C in English and Maths
    • Secretarial studies or business administration certification or equivalent experience would be an asset
    • Any relevant I.T. qualifications including EXCEL, Microsoft are necessary for this role.

    Desirable

    • Medical terminology would be an asset as the role requires accurate coding on patient records/or willingness to undertake relevant training.

    Experience

    Essential

    • Would be an advantage of previous experience within a secretarial role.
    • Must have working knowledge/skills of IT systems.
    • Must be a team player and adaptable to change is important
    • Experience of resolving problems
    • Willingness to commit to personal development/training courses as required.
    • Understands the need for confidentiality, accuracy and professionalism at all times.

    Desirable

    • Experience in working previously within a healthcare setting would be an advantage
    • Experience working as a medical secretary
