Job summary

Corfton Road Surgery is a busy GP surgery in Central Ealing with easy transport links and approximately 9.500 patients.

We are looking to expand our premises in the future, which will provide a more up to date, modern, fit for purpose health-centre for future expansion.

In the meantime, we are looking for a proactive, preferably experienced part-time GP receptionist (or similar experience) to join our friendly dynamic team to help with our expanding list size.

Main duties of the job

You would be the face of the practice and would be responsible for the smooth running of the front of house as well as back office. We require someone with excellent computer skills, a sense of humour and experience of working in a busy reception environment.

You would be expected to have great communication skills and an empathetic nature to be able to greet patients when they come in and take the many telephone calls we receive.

We need someone who can work in the afternoons between 1.30pm - 6.30pm (this is essential)Monday to Friday. Ideally you would also be flexible and able to provide cover at short notice if required from time to time.

We would prefer a candidate who is SystmOne trained and has had previous experience of working in a GP Practice, but this is not essential as we would be happy to train the right person.

About us

We are a training practice who train doctors to become GPs and currently we have 3 GP registrars, as well as 2 GP Partners, 4 salaried GPs, a practice nurse, 3 healthcare assistants and a phlebotomist. The administrative team consists of 10 part time receptionist/administrators, a GP assistant, a full time practice manager and a part time manager. In addition we are supported by a clinical pharmacist and a paramedic. We also have a physiotherapist and a mental health worker who are attached to the surgery.

Job description

Job responsibilities

Accurately detail information on patients records within the clinical system

Maintain and monitor the practice appointment system

Process personal, telephone and e-requests for appointments

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Signpost patients to the correct service

Initiate contact with and respond to, requests from patients, team members and external agencies

Input data into patients healthcare records as necessary

Direct requests for information, i.e., DSAR, insurance/solicitors letters and DVLA forms to the administrative team

Manage all queries as necessary in an efficient manner

Support all clinical staff with general administrative tasks as requested

Undertake a broad spectrum of administrative duties commensurate with the role

Be an integral part of the general practice team

Act as a chaperone as required

Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children

Undertake all mandatory training and induction programmes

Maintain a clean, tidy, effective working area at all times

Monitor and maintain the reception area and notice boards

Scan and photocopy patient related documents and attach scanned documents to patients healthcare record

Complete opening and closing procedures in accordance with the rota

Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
