Job summary

We are seeking a highly organised and motivated Medical Secretary to join our busy and supportive clinical team. This is an excellent opportunity for an experienced administrator with strong communication and organisational skills to contribute to high-quality patient care.

The successful candidate will play a key role in providing comprehensive secretarial and administrative support to clinicians, ensuring the smooth running of services and an excellent patient experience.

Main duties of the job

The Medical Secretary will:

  • Provide a full secretarial service to consultants and/or clinical teams
  • Manage clinic correspondence, including typing letters and reports
  • Handle patient enquiries professionally and sensitively
  • Coordinate appointments, meetings, and clinic schedules
  • Maintain accurate and up-to-date patient records
  • Liaise with internal departments and external organisations
  • Ensure confidentiality is maintained at all times
  • Support service delivery by prioritising workload effectively

Job Purpose

To provide a comprehensive, efficient, and confidential secretarial service to the clinical team, supporting the delivery of effective patient care.

Key Responsibilities
  • Audio typing and preparation of clinical correspondence
  • Managing incoming and outgoing mail, including emails
  • Maintaining clinic lists and ensuring accurate scheduling
  • Organising meetings, taking minutes where required
  • Updating patient information systems in line with Trust policies
  • Dealing with telephone queries from patients, relatives, and healthcare professionals
  • Filing and maintaining records in accordance with GDPR and NHS guidelines
