Job summary
We are seeking a part time (24 hours per week across 4 days) Receptionist to join our busy team.
Experience of working in General Practice would be an advantage, but not essential.
Applicant must be able to work shifts that can start at 730am, 8am or 1pm and must be able to work shifts that finish at 7pm with flexibility where cover for leave is needed.
The role supports the Patients & Staff at the Practice, displaying a positive, friendly and professional manner whether dealing with enquiries face to face, via the telephone or online. Full training provided for our clinical system (EMIS Web) and other associated systems.
Main duties of the job
Include but not limited to:
Greeting & assisting patients where required who attend for appointments
Dealing with telephone or online enquiries
Processing repeat prescription requests
Working alongside Duty Doctor to ensure smooth booking of online appointment requests.
Taking & delivering messages as required according to Practice policies
Opening & closing of the buildings in line with Practice procedures
About us
We have 2 sites both in Stanmore, c12500 patient list size.
The team consists of 2 GP Partners, Salaried GPs, Nurses, Healthcare Assistant & Phlebotomists, Receptionists, Administrators, Pharmacists, Physician Associate, Physios.

Job responsibilities
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
- Deal with all general enquiries (either face to face, on the telephone or online), explain procedures and signpost as required.
- Using your communication skills, ensure that patients with no prior appointment but who need urgent consultation are handled and signposted as necessary, in conjunction with working with the Duty Doctor.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests onto the online platform to assist patients where they are not able.
- Action repeat prescription requests and ensure that they are processed in a timely manner and in line with Practice policy (requests are either electronic or manual).
- Process tasks as advised by the clinical team.
- Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information onto records as required.
- Ensure timely & accurate records are kept.
- Keep the staff kitchen area clean & clear
- Keep the patient waiting room aired and tidy
- Process incoming mail/documents and associated paperwork in an efficient and timely manner as required
- Premises:
o Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
o When last to leave at the end of the day, ensure that the closing procedure is followed and that the building is totally secured and the alarm activated.
o Ensure the clinical rooms are cleared and prepared for the next clinic
- Undertake any other additional duties appropriate to the post as requested by the Managers or Partners.
